About the Pope Francis Center:

Pope Francis Center exists to provide meals, supportive services, and housing assistance to Detroit community members in need, especially those experiencing homelessness. On an average day, we welcome over 200 guests and provide them with nutritious meals, showers, laundry, and access to doctors, dentists, lawyers, and housing providers through our free clinics. We have been serving Detroit’s most vulnerable citizens for over 30 years, and we envision a Detroit without homelessness, where every person has the resources for sustained stability.

Position Overview:

The Executive Assistant (EA) is a trusted right hand to the President & CEO of the Pope Francis Center. This role is ideal for someone with a calm demeanor, sharp judgment, and proven experience supporting high-level executives across both professional and personal domains. The EA ensures the CEO’s schedule runs seamlessly, communications are managed with discretion and clarity, and all tasks align with the mission and pace of the organization.

Responsibilities:

Calendar & Scheduling (40%)

Manage all aspects of the CEO’s calendar: scheduling meetings, anticipating conflicts, and providing daily agendas.

Coordinate logistics for in-person and virtual meetings, including Board meetings, public speaking events, and donor visits.

Ensure adequate prep time before meetings and post meeting time for documentation and to-do lists.

Administrative & Operational Support (30%)

The Executive Assistant is the gatekeeper for the CEO, serving  as the primary point of contact for internal and external stakeholders seeking time with the CEO.

Coordinate travel logistics (flights, hotels, ground transportation), event RSVPs, and trip itineraries for work and limited personal engagements.

Prepare daily briefing folders with meeting notes, bios, talking points, and follow-up memos.

Communication & Documentation (20%)

Draft and/or edit correspondence, emails, memos, and presentation materials on behalf of the CEO.

Maintain and organize shared drives, contacts, and key files, including those related to board governance.

Support the CEO in preparing for talks, presentations, or public-facing documents.

Personal Coordination (10%)

Manage limited personal appointments, such as medical visits, social commitments, or travel logistics.

Coordinate with key personal contacts when necessary, maintaining absolute discretion.

Qualifications:

Minimum 5–10 years supporting a senior executive (nonprofit or ministry setting preferred).

Exceptional time management and prioritization skills.

Highly organized with excellent attention to detail and follow-through.

Comfortable managing confidential and sensitive matters with professionalism.

Strong verbal and written communication.

Proficiency in Google Workspace, Zoom, and calendar management platforms.
