Status: Temporary with the possibility of becoming permanent
Job Title: Executive Assistant
Hours: Full-time / Monday to Friday
Timeline: Immediate hire through the end of October with a possible extension through the end of the year, and the possibility of becoming permanent
Weekly Hybrid Schedule: Three days onsite/ Two days remote
Office Location: Washington, DC
Hourly Compensation During Initial Temporary Period: $25.00 to $30.00 per hour
Key Responsibilities
The Executive Assistant is responsible for being conversant with the internal and external responsibilities of the Executive Director in order to assist with tasks related to the daily and long-term operations of the Association.
- Reporting directly to the Executive Director
- Scheduling and maintaining the Executive Director’s calendar based on strong understanding of the ED’s priorities and internal and external responsibilities
- Communicating professionally, effectively, and efficiently with a range of constituents, in person and via email and phone;
- Ensuring that the Executive Director has all necessary materials in advance to be effective on calls or in meetings
- Working collaboratively with the Associate Executive Director and their staff in support of Association activities
- Deploying requests and tasks to other assistants and administrative personnel on behalf of the Executive Director, when needed to support Association projects and initiatives
- Providing administrative support on complex or confidential matters, including but not limited to travel arrangements and related travel itineraries, agendas, advances, expense reports, etc.
- Providing administrative support including mail preparation and document distribution
- Assisting and co-leading with the Executive Director in assessing office structures to support strategic steps (e.g., changes and/or re-organization of work and roles) toward enhanced organizational functioning
Office Support and Assistance:
- Having an overall knowledge of the various Association programs
- Developing and maintaining strong proficiency in key platforms and their various functions (Microsoft Outlook suite, Dropbox, etc.) to support the Executive Director and serve as a resource for office operations
- Receiving and screening executive telephone calls and emails with exemplary professionalism
- Developing and maintaining electronic records and resources
- Documenting processes in use to safeguard knowledge of office operations
- Supporting implementation of effective, efficient and professional office operations
- Assisting in the preparation and execution of meetings including logistics, catering, audio, and
- IT requirements; with approval of the Executive Director
- Providing administrative and project management support for activities, initiatives, and special projects; with approval of the Executive Director
- Other duties as assigned.
Qualifications
- BA/ BS degree
- 3+ years related experience
- Ability to work onsite in DC in a hybrid setting as described above
- Strong computer skills using MS365, the ability to learn new systems quickly, and the ability to troubleshoot technology issues
- Highly adaptable and flexible
