Executive Assistant

Our client, a nonprofit organization, is seeking a highly organized and proactive Executive Assistant to support their Leadership Team and manage a variety of administrative functions. This role is vital in ensuring seamless communication and operational flow within the organization while fostering a collaborative and efficient workplace environment.

Compensation:

$30-40/hr. (temp)

This is an onsite position located in Jamaica Plain, MA, with an expectation of working four days per week in the Boston office. The role begins as soon as possible on a temporary basis with the opportunity for permanent placement.

Responsibilities:

  • Facilitate daily schedules for organizational leaders, anticipate conflicts, and coordinate logistics to ensure smooth appointments and meetings
  • Curate and prepare relevant meeting materials, including gathering, editing, and assembling information into professional documents and presentations
  • Maintain a comprehensive organizational calendar, managing changes and updates efficiently
  • Coordinate and support events for employee engagement and organizational initiatives
  • Collaborate with the Administrative Team to develop and implement streamlined processes that enhance operational efficiency
  • Uphold strict confidentiality and exercise excellent judgment in all responsibilities
  • Assist with note-taking, minute documentation, and follow-up actions for meetings and projects
  • Support strategic projects and administrative needs across the organization as required

Requirements:

  • A minimum of seven years supporting C-suite executives or senior leadership in a fast-paced, entrepreneurial environment
  • Demonstrable passion for the mission, vision, and values of the organization
  • Proven ability to work independently, exercise initiative, and anticipate needs proactively
  • Superior organizational skills with the capacity to juggle multiple priorities and deadlines
  • Strong written and verbal communication skills with attention to detail
  • Proficiency with Google Suite applications and advanced digital presentation skills
  • Flexibility and agility to adapt to changing priorities and environments
  • Ability to work under pressure and maintain professionalism across diverse stakeholders
  • Alignment with core leadership competencies, including collaboration, communication, problem-solving, and continuous learning
