The Opportunity

The Manager of Executive Affairs & Board Secretary plays a critical leadership role, supporting the Head of School and the Board of Trustees. This position ensures the smooth and effective operation of the executive office, overseeing high-level communications, governance coordination, and executive operations.

This role requires a highly organized, bilingual professional who can manage complex priorities, draft polished communications in both French and English, and maintain the highest level of confidentiality and professionalism.

The current employee will retire at the end of December 2026, and the incoming hire will have an overlap and training period, with the goal of becoming fully independent by July 1.

Key Responsibilities

Executive Support

  • Manage complex scheduling and daily priorities for the Head of School
  • Prepare briefing materials and coordinate executive communications
  • Draft and edit high-level correspondence, presentations, and documents in English and French
  • Coordinate travel, confidential communications, and executive workflows

Board Governance

  • Serve as Secretary to the Board of Trustees
  • Coordinate board and committee meetings, including agendas, board books, and minutes
  • Maintain governance calendars and documentation
  • Ensure compliance with bylaws and governance policies

Executive Office Operations

  • Support the overall functioning of the Executive Office
  • Supervise administrative support within the office
  • Maintain operational procedures and documentation standards
  • Manage sensitive institutional information with discretion

Stakeholder Coordination

  • Serve as liaison between the Head of School, leadership team, trustees, and school community
  • Ensure consistent, professional, bilingual communication across stakeholders

Events & Special Projects

  • Coordinate leadership meetings, board sessions, and executive events
  • Manage logistics for high-profile visits and school initiatives

Ideal Candidate Profile

  • Fully bilingual in French and English (spoken and written)
  • 5+ years of executive support experience, ideally supporting senior leadership or boards
  • Exceptional drafting, writing, and document preparation skills
  • Ability to produce polished communications independently in both languages
  • Strong judgment, discretion, and confidentiality
  • Highly organized with the ability to manage competing priorities
  • Experience in education, nonprofit, or mission-driven organizations is a plus

Compensation

Salary range: $95,000–$115,000 annually, depending on experience.

Interview Process

  1. Initial interview with the Head of School (Virtual)
  2. Skills-based assessment (drafting, translation, or scenario exercise)
  3. In-person interview with leadership
  4. Final conversation with select Board members (if needed)
