Position Summary
Fresno Metro Ministry seeks a detail-oriented, proactive, and highly organized Executive Assistant to support the Executive Director and senior leadership team. This individual will play a crucial role in enhancing the organization’s efficiency and effectiveness by managing administrative tasks, facilitating communication, and providing strategic, financial, and program development support for organizational initiatives.
The Executive Assistant will embody Fresno Metro Ministry’s mission of advancing health equity, food justice, and sustainable community development by supporting day-to-day operations, leading new projects and innovations, managing social media platforms, and contributing to long-term projects and strategic planning.
Key Responsibilities
Executive Support
Manage the Executive Director’s calendar, schedule meetings, and coordinate travel arrangements.
Prepare and organize materials for meetings, presentations, and reports.
Draft correspondence, memos, and other communications on behalf of the Executive Director.
Act as the primary point of contact between the Executive Director and internal/external stakeholders.
Event Planning
Administrative Support
Organize and maintain files, records, and databases for efficient information retrieval.
Support the leadership team in tracking key deliverables, deadlines, and project timelines.
Coordinate and take minutes for board meetings, staff meetings, and other organizational events.
Assist with grant and report submissions, ensuring adherence to deadlines and requirements.
Financial Support
Support financial management tasks, including processing invoices, reimbursements, and expense reports.
Pull financial reports: review for accuracy and make recommendations to the Executive Director.
Maintain financial records and documentation.
Assist with budget tracking and reconciliation in collaboration with the Finance Department.
Utilize QuickBooks to manage basic bookkeeping tasks, including data entry and report generation.
Program Development Support
Assist in the development and implementation of new programs aligned with Fresno Metro Ministry’s mission and strategic goals.
Conduct research and data collection to support program planning and evaluation.
Collaborate with program managers to design program frameworks and assess program effectiveness.
Help organize and facilitate training sessions, workshops, and community events related to program initiatives.
Strategic Planning
Participate in the strategic planning process by providing administrative support and coordinating planning sessions.
Assist in the formulation and documentation of strategic goals, objectives, and action plans.
Monitor and report on the progress of strategic initiatives, ensuring alignment with organizational priorities.
Facilitate communication and coordination among departments to support strategic goals.
Communication and Liaison
Foster clear and efficient communication between the Executive Director, staff, board members, and external partners.
Coordinate communication with community partners, funders, and other stakeholders.
Represent Fresno Metro Ministry in a professional manner at events, meetings, and community engagements.
Operational Support
Assist with special projects, including research, data collection, and event planning.
Manage office operations, including supply ordering and vendor relationships.
Support fundraising and donor engagement efforts, including event logistics and donor communication.
Project Leadership and Innovation
Assist in leading new projects and initiatives that align with Fresno Metro Ministry’s mission and strategic goals.
Collaborate with team members to develop and implement innovative solutions to organizational challenges.
Facilitate brainstorming sessions and contribute ideas for program enhancements and operational improvements.
Monitor the progress of new projects, ensuring they are completed on time and within scope.
Social Media Updating and Management
Manage and update Fresno Metro Ministry’s social media platforms (e.g., Facebook, Twitter, Instagram, LinkedIn).
Develop and schedule engaging content that aligns with the organization’s mission and initiatives.
Monitor social media channels for engagement, respond to comments and messages, and foster online community interactions.
Analyze social media metrics to assess the effectiveness of campaigns and adjust strategies as needed.
Collaborate with the marketing and communications team to ensure consistent branding and messaging across all platforms.
Qualifications
Education: Associate or Bachelor’s degree in Business Administration, Accounting, Nonprofit Management, Communications, or a related field preferred.
Experience: Minimum of 3 years of administrative or executive support experience, preferably in a nonprofit setting.
Financial Proficiency: Experience with QuickBooks and financial management.
Program Development: Experience supporting program development and implementation is highly desirable.
Strategic Planning: Ability to assist in strategic planning processes and monitor strategic initiatives.
Social Media Management: Proven experience in managing social media platforms, including content creation and analytics.
Technical Skills: Proficiency in Microsoft Office Suite, Google Workspace, and project management tools. Familiarity with social media management tools is highly desirable.
Organizational Skills: Exceptional organizational skills and attention to detail.
Communication Skills: Strong written and verbal communication skills.
Confidentiality: Ability to maintain confidentiality and exercise discretion in sensitive situations.

Preferred Qualifications

Governance Experience: Experience working with boards of directors and knowledge of nonprofit governance.
Bilingual Proficiency: Bilingual proficiency (e.g., Spanish, Hmong, Punjabi) is highly desirable.
Creative Skills: Graphic design skills or experience with multimedia content creation.
Compensation and Benefits
Salary Range: $65,000 – $70,000
