Job Purpose: We are looking for a detail-oriented individual to support the Director of Fundraising who is comfortable working in a fast-paced environment and is a quick thinker to come up with solutions. The candidate should be adaptive and able to use foresight and critical thinking to be able to plan and support the Director of Fundraising with various tasks.
Essential Duties & Responsibilities:
1. Executive Support
Manage and maintain the Director of Fundraising’s calendar, scheduling meetings, appointments, and engagements.
Oversee email correspondence, prioritizing and responding to inquiries as needed.
Screen and direct phone calls and visitors professionally and efficiently.
Prepare and review documents for approval and signature.
Draft, proofread, and distribute confidential communications, reports, and presentations.
2. Operational & Administrative Coordination
Coordinate logistics for meetings, including agenda preparation, minute-taking, and follow-up actions.
Plan and arrange travel, accommodations, and itineraries for work-related trips.
Assist in organizing internal meetings, staff events, and special projects.
Manage and maintain an organized filing system for documents and records.
Ensure confidentiality and discretion in handling sensitive information.
3. Project & Team Support
Collaborate with cross-functional teams to support fundraising initiatives.
Assist in preparing reports, presentations, and other materials as needed.
Liaise with internal and external stakeholders to facilitate communication and workflow efficiency.
Support the execution of department-wide projects and initiatives.
4. Other Duties
Occasionally support events or projects outside regular working hours, including evenings and weekends.
Undertake additional responsibilities as assigned to support the department’s objectives.
Qualifications & Competencies
Bachelor’s degree in Business Administration, Nonprofit Management, Communications, Public Administration, or a related field.
Highly fluent in English, both written and spoken.
1-3 years of experience in a general administrative or executive assistant capacity
Meticulous; attention to detail.
Excellent written and verbal communication skills with a strong grasp of email etiquette.
Time management and prioritization skills.
Ability to work in a fast-paced work environment
Demonstrated ability to safeguard confidential information and maintain a high degree of professionalism.
Strong interpersonal skills.
Experience in the humanitarian or nonprofit sector is an asset.
