Job Title: Executive/Program Assistant
Job Code: Part-Time (20 – 30 Hours)
Reports to: Executive Director / Deputy Director
Starting Hourly Rate: $25 – $28 per hour

Summary: The West Slope Foundation (WSF) is seeking a part-time Executive/Program Assistant (EPA) with over 5 years of experience. This role is crucial for supporting our Executive and Deputy Directors and will be the primary contact for all incoming communications. The EPA will be vital to the organization, ensuring the smooth and efficient operation of our office and programs.

Key Skills:

Strong organizational and communication skills: Ability to manage multiple tasks efficiently and communicate effectively with team members and external stakeholders.
Proficiency in Microsoft Office Suite: Experience in using tools like Word, Excel, Teams, PowerPoint, and Outlook to manage documents, spreadsheets, presentations, and emails.
Experience with scheduling, calendar management, and handling confidential information: Skilled in organizing meetings, managing executive calendars, and maintaining confidentiality.
Problem-solving abilities and a proactive attitude: Capable of identifying issues and implementing solutions proactively.

Main Responsibilities:

Manage calendars, social media, and correspondence: Oversee the scheduling of meetings, manage social media, and handle incoming and outgoing communications.
Coordinate travel and draft/edit documents: Arrange travel plans for executives and draft or edit various documents as needed.
Complete expense reconciliation and support various projects: Handle expense reports and assist with different projects to ensure their successful completion.
Prepare meeting agendas and notes: Create agendas for meetings and take detailed notes to ensure accurate record-keeping.
Coordinate grant management and program support activities: Assist in managing grant writing and execution, as well as support various program activities to ensure they run per grant requirements.
Assist in planning and executing program events and initiatives: Help organize and execute events, activities, workshops, trainings and community outreach.
Track and report on program metrics and outcomes: Monitor and report on the progress and outcomes of various programs to ensure they meet their objectives.

Qualifications:

5+ years of experience as an Executive/Program Assistant: Demonstrated experience in a similar role.
Proficiency in Microsoft Office 365: Required.
Experience with virtual meeting platforms: Familiarity with tools like Zoom and Teams.
Strong organizational and multitasking skills: Ability to manage multiple priorities and tasks efficiently.
Excellent written and verbal communication skills: Ability to communicate clearly and effectively.
High level of discretion and confidentiality: Ability to handle sensitive information with integrity.
Experience in grant coordination and program support: Preferred but not required.

Work Location: Hybrid Position with at least 2 days in the WSF Office a week. Additional hours and days may be required for the position of working in the office due to mandatory in-person meetings. Must be available during normal business hours on days working from home.

About West Slope Foundation: The West Slope Foundation was established in response to the Caldor Fire in August 2021. The foundation is dedicated to disaster preparedness, response, and recovery for the Western Slope of El Dorado County, California. Our mission is to help the community become better prepared for disasters, provide aid during emergencies, and support long-term recovery efforts.

Disaster Readiness Workshops: Hands-on and thought-provoking educational training in community disaster readiness.
Survivor’s Assistance Programs: Ongoing support for disaster-affected individuals and families.

Youth Readiness Ambassador Program: Engages youth in high-risk wildfire communities to help their households, families, friends, and neighborhoods prepare for potential wildfires and other disasters, fostering a culture of preparedness and resilience.

Job Types: Part-time, Contract

Pay: $25.00 – $28.00 per hour

Expected hours: 20 – 30 per week

Schedule:

Day shift
Monday to Friday
Weekends as needed
