Position Summary:
The Executive Administrative Assistant provides high-level administrative support to the Executive Director and, as needed, other senior leadership. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a self-starter, possess excellent communication skills, and have a genuine passion for the mission of iHOPE INC.
Responsibilities: Executive Support:
Manage the Executive Director’s calendar, including scheduling appointments, meetings, and travel arrangements.
Prepare and organize materials for meetings, presentations, and conferences.
Screen and prioritize incoming mail, emails, and phone calls, responding or redirecting as appropriate.
Prepare and edit correspondence, reports, and other documents.
Conduct research and compile data as needed.
Handle confidential information with discretion and maintain strict confidentiality. Administrative Management:
Maintain accurate and organized filing systems, both electronic and physical.
Coordinate and manage logistics for meetings, events, and workshops.
Process expense reports and track budgets related to executive activities.
Order and maintain office supplies and equipment.
Assist with the preparation of board meeting materials and minutes.
Coordinate travel arrangements, and create travel itinerary Communication & Collaboration:
Serve as a liaison between the Executive Director and internal/external stakeholders.
Communicate effectively with board members, donors, volunteers, and the public.
Assist with the preparation of donor correspondence and acknowledgments.
Collaborate with other administrative staff to ensure efficient office operations.
Answer and direct phone calls in a professional and courteous manner. Nonprofit Specific Responsibilities:
Assist with donor database management.
Aid in the preparation of grant applications and reports.
Support fundraising and development efforts as needed.
Maintain awareness of nonprofit best practices and regulations.
Qualifications:
Bachelor’s degree preferred, or equivalent experience.
Minimum of [Number] years of experience as an executive administrative assistant, preferably in a nonprofit setting.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.

Pay: $44,173.00 – $45,004.00 per year
