Events Specialist (Maternity Leave)
The Royal Alexandra Hospital Foundation (RAHF) is excited to welcome an organized, collaborative, and detail-oriented professional to our team. Introducing our Events Specialist (Term) position, a key contributor to delivering exceptional events, an expert in logistics and coordination, and a valued partner in creating meaningful experiences that support our mission.
The Events Specialist provides hands-on coordination and logistical support across the Foundation’s diverse events portfolio. Working closely with the Events Officer, this role supports the planning, preparation, and execution of signature fundraising events, partner collaborations, stewardship initiatives, and internal gatherings.
This position plays an important role in ensuring seamless event delivery by managing logistics, coordinating vendors, supporting guest experiences, and maintaining strong operational processes. From planning through to post-event evaluation, the Events Specialist helps bring events to life while ensuring efficiency, accuracy, and professionalism.
This is a term position providing maternity leave coverage and offers an excellent opportunity for an emerging events professional to gain valuable experience in a fast-paced nonprofit environment.

Key Accountabilities
Event Operations & Logistics
· Manage event booking processes, vendor communications, and ticketing logistics to ensure timely coordination across all stakeholders.
· Support budget tracking and expense management, identifying and communicating variances as needed.
· Coordinate event inventory, including storage, transportation, and tracking of supplies and materials.
· Support guest management processes, including invitations, RSVPs, seating, and registration.
· Prepare and maintain event documentation such as run-of-show, briefing materials, and post-event reports.
· Collaborate with internal teams to support event-related reporting and data tracking.
· Assist with event communications, signage, and marketing materials in collaboration with the Communications team.
Event Coordination & Planning Support
· Support the planning and preparation of Foundation events, including fundraising galas, partner events, stewardship activities, and internal gatherings.
· Assist in managing timelines, project plans, and task lists to ensure milestones are achieved.
· Coordinate with vendors, volunteers, and internal teams to support smooth planning processes.
· Maintain event checklists and project documentation to support consistency and organization.
· Help manage multiple events simultaneously by tracking deadlines and deliverables.
Event Execution & On-Site Support
· Provide hands-on support during events, including setup, coordination, and teardown.
· Support partner and community events as required.
· Assist with auction and raffle logistics, signage, and overall guest experience.
· Prepare briefing materials and ensure event hosts and volunteers are well informed.
· Coordinate on-site vendors and support event logistics, including gaming activities where applicable.
Performance & Success Indicators
Success in this role looks like:
· Consistent and timely execution of event logistics and deliverables.
· Accurate tracking and management of event budgets and expenses.
· High-quality, professional event experiences for guests, partners, and stakeholders.
· Strong collaboration with internal teams and event partners.
· Well-organized event documentation and clear post-event reporting.
Required Knowledge, Experience & Competencies
· 1–3 years of experience in event coordination or event support, preferably in a nonprofit or community-based environment.
· Experience supporting vendor coordination, guest management, and event logistics.
· Strong organizational skills with the ability to manage multiple priorities and deadlines.
· Excellent written and verbal communication skills.
· Strong interpersonal skills and ability to collaborate across teams and with volunteers.
· High attention to detail and commitment to accuracy.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams, SharePoint).
· Ability to work flexible hours, including evenings and weekends, and travel locally as needed.
Assets
· Understanding of nonprofit fundraising and event stewardship practices.
· Experience with ticketing platforms, auction software, or event management tools.
· Experience coordinating volunteers.
· Familiarity with project management tools or methodologies.
· Post-secondary education in event management, hospitality, communications, or a related field, or an equivalent combination of education and experience.
