Position Qualifications

  • Bachelor’s degree preferred but not required
  • Preferred 3-5 years of project or event management experience
  • Translatable experience 3-5 years as a theatrical company or stage
  • manager
  • Must possess excellent verbal, written, and presentation skills
  • Excellent computer skills required (Microsoft Word, Microsoft Excel)
  • Smartsheet knowledge preferred but not required
  • Monday and Auctria software applications expert knowledge a plus!

  • problem-solving skills
  • Ability to prioritize and manage multiple responsibilities with minimal

Work Environment

  • The job operates in a professional, open-space office environment using standard office equipment.
  • Work-from-home capability one day per week after first 90-days (for new hires below Dir/Mgr level)
  • Occasional nights and weekends are required for event execution
  • There is a high probability of glitter encroachment on personal items at your workstation
  • Working knowledge of Connect 4, Candyland, and Chutes and Ladders required

ESSENTIAL JOB RESPONSIBILITIES AND DUTIES

The Events Manager is responsible for the following essential functions and duties:

Major Events Management

The ideal candidate for this role, will posess a high level of expertise in fast-paced environments, multi-event planning, financial as well as operations management. A champion of timelines, milestones and deadline management is essential. As this role will negotiate contracts and work with several committee members to maintain and grow our successful events, this person must possess excellent negotiation and soft skills. As our events are theatrical in nature, absolute tranferable skills are a candidate who has worked as a theatrical company or stage manager, working on every minute detail while also being able to see the broader, full scope of our events and experiences for our guests.

  • Oversees, manages, and leads logistics and execution of all Make-A-Wish Nevada signature fundraising events from planning through post-event evaluation, ensuring exceptional execution and alignment with organizational fundraising goals.
  • Develops and manages comprehensive event timelines, logistics, budgets, expenses, and project plans while exercising independent judgment in managing budgeted expenditures.
  • Provides leadership and oversight for event committees, staff, volunteers, vendors, venues, and other key partners to ensure successful event execution and an exceptional guest experience.
  • Collaborates with the Development and Marketing teams to develop event strategies, sponsorship opportunities, stewardship plans, event programming, and marketing collateral
  • Oversees the functionality and optimization of the organization’s event management platform and
  • project management tools, ensuring accurate tracking of event logistics, assignments, timelines, and departmental responsibilities.
  • Develops Run of Show documents, production schedules, scripts, and coordinates all event logistics,
  • including registration, audiovisual production, catering, entertainment, décor, and on-site operations.
  • Oversees the tracking, packaging, presentation, and fulfillment of raffles, and live and silent auction items, ensuring accurate descriptions, valuations, and donor recognition. Submits and tracks all in-kinds.
  • Trains, schedules, and manages staff and volunteers to support successful execution of all events.
  • Develops and executes comprehensive stewardship plans, ensuring timely fulfillment of sponsorship benefits, donor recognition, thank-you communications, and post-event engagement activities.
  • Maintains accurate records of donors, sponsors, vendors, volunteers, contracts, in-kind contributions, and event activity within the organization’s CRM and related systems.
  • Assists with post-event financial reconciliation, ROI analysis, and event evaluations, presenting paperwork, records, and in-kinds to Operations team in a timely manner.
  • Performs other duties as assigned in support of the organization’s fundraising, donor engagement, and mission objectives.

Event Committee Management

  • Attends all meetings with signature event committees and event chairs, building strong relationships to ensure successful event planning and execution.
  • Coordinates committee meetings by scheduling meetings, preparing agendas, taking meeting minutes, tracking action items, and ensuring timely follow-up.
  • Partners with committee chairs, as needed, to provide strategic guidance, communicate event updates, and keep planning efforts aligned with fundraising goals.
  • Cultivates meaningful donor relationships by providing exceptional service, recognizing committee contributions, and serving as a professional ambassador for Make-A-Wish Nevada.
  • Collaborates with Development, Marketing, and leadership to provide committees with the information, resources, and support needed for success.
  • Develops and executes committee stewardship plans, ensuring committee members and event chairs are recognized, appreciated, and meaningfully engaged throughout the year.

The Wishing Place Event Management

  • Plans and executes events at The Wishing Place for donors, volunteers, corporate partners, vendors, Wish families, and other community stakeholders to create meaningful experiences that strengthen relationships, celebrate the Make-A-Wish mission, and support donor stewardship.
  • Coordinates all event logistics, including scheduling, vendor management, room setup, catering, audiovisual needs, and on-site event execution to ensure a positive guest experience.
  • Collaborates with the Marketing team to develop event invitations and collateral, and partners with the Operations team to coordinate guest lists, invitation lists, and database pulls.

Event Budgets

  • Partners with the Chief Executive Officer and Senior Director of Development to develop annual revenue and expense budgets for all events, ensuring alignment with organizational fundraising goals.
  • Monitors and manages event financial performance by tracking revenue, expenses, sponsorships, ticket sales, auction proceeds, and in-kind contributions, taking proactive steps to meet or exceed budget goals.
  • Manages event-related financial processes, including submitting invoices and supporting documentation for payment, tracking expenses, and ensuring accurate processing and recording of donated goods and services.
  • Exercises sound fiscal responsibility by managing event expenditures, identifying cost-saving opportunities, and ensuring events remain within approved expense budgets while maximizing net revenue.

Vendor Management

  • Manages relationships with event vendors, including negotiating agreements, coordinating deliverables, and ensuring vendors meet expectations, timelines, and organizational standards.
  • Coordinates vendor logistics for all events, including contracts, invoices, production schedules, setup requirements, and day-of execution.
  • Maintains a network of trusted vendors and evaluates vendor performance to identify opportunities for improved service, quality, and cost efficiencies.

Miscellaneous

  • Special projects as assigned.
  • Maintains The Wishing Place’s cleanliness and inventory of event-related materials in the storage unit.
  • Provides hospitality support for internal meetings as needed.

Supervision

  • This position reports directly to the Chief Executive Officer.
