Position Summary:
The Event Specialist plays a key role in the successful execution of all events at the museum, with a focus on physical setup, hands-on coordination, and on-site vendor and client support. This is not a behind-the-desk role—you’ll be out on the floor ensuring that every event runs smoothly, professionally, and safely.
Key Responsibilities:
Oversee and participate in physical event setup and breakdown (tables, chairs, AV, signage, etc.)
Act as on-site lead for external vendors (caterers, AV, decorators, etc.), ensuring adherence to timelines and museum policies
Serve as primary point of contact for clients during events, addressing needs and resolving issues quickly and professionally
Coordinate event logistics, including site walkthroughs, load-in/out, staffing, and cleanup
Maintain and inventory event supplies and equipment
Ensure all event spaces are clean, safe, and ready before and after each event
Assist with occasional internal programs or museum-hosted public events
Support weekend and evening events on a regular basis
Qualifications:
1–2 years of experience in events, hospitality, facilities, or related hands-on roles
Comfortable performing physical labor and standing/walking for long periods
Strong communication and problem-solving skills
Experience working with vendors and clients in a fast-paced setting
Ability to lift and carry 30–50 lbs as needed
Positive attitude, team player, and attention to detail
Familiarity with event operations or AV setup is a plus
Must be flexible with scheduling and available on nights/weekends
