Role Description The Event Project Manager is a full-time, on-site role based in Oakland, NJ, responsible for leading events from initial planning through post-event wrap-up. This role manages project timelines, coordinates internal and external stakeholders, and oversees all event logistics, including vendor management, contracts, and on-site execution. Daily responsibilities include building and tracking project plans, working with various vendors, preparing budgets and cost estimates, monitoring expenses, and ensuring events are delivered on time and within budget. The Event Project Manager will communicate regularly with clients, vendors, and team members, prepare event briefs and run-of-show documents, and support marketing and promotional efforts related to events. The role also involves identifying and resolving issues quickly, maintaining detailed documentation, and contributing to process improvements for future events.
Qualifications
- Strong event planning and event management skills, with experience coordinating events from concept to completion.
- Demonstrated budgeting and budget management skills, including estimating costs, tracking expenses, and optimizing spend.
- Excellent communication skills, with the ability to collaborate effectively with clients, vendors, and cross-functional teams.
- Proven organizational and time-management abilities, with capacity to manage multiple projects and deadlines simultaneously.
- Experience with vendor sourcing, contract negotiation, and event design management is highly beneficial.
- Comfort working on-site at events, including occasional evenings, weekends and national travel as required by event schedules.
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field, or equivalent practical experience is preferred.
