Now Hiring: Donor Communications Coordinator
Department: Development | Reports to: Director of Giving and Engagement
Status: Full-Time, Exempt
Salary Range: $60,000-$65,000 annually
Location: Ashland, OR

The Coordinator serves as the primary coordinator between the Development and Marketing departments for communications and collateral. They work with the Director of Giving and Engagement to ensure that development priorities are translated into high-quality content and that organizational creative resources are effectively leveraged to support fundraising and engagement goals.


Development Communications Execution

  • Coordinate and produce communications under the leadership of the Director of Giving and Engagement to support:
    • membership and annual fund
    • Artistic Directors Circle (ADC)
    • major gifts and campaign efforts
    • donor stewardship and engagement
    • Event invitations, confirmations, and follow-up messaging
  • Ensure communications are:
    • timely, accurate, and well-produced
    • aligned with event execution and donor engagement strategy
    • coordinated with Donor Engagement Operations Manager to ensure consistency across experience and messaging
    • consistent across donor audiences

Content Production & Material Development

  • Draft, format, and produce communication materials including:
    • donor emails and correspondence
    • event communications and invitations
    • stewardship updates and impact materials
    • proposal support materials
  • Adapt messaging frameworks into audience-specific communications


Video & Audio Content Capture and Utilization

  • Under the direction of the Director of Giving and Engagement, coordinate and support the capture of video and audio content during:
    • donor events
    • engagement experiences
    • artistic and behind-the-scenes moments
  • Ensure content is:
    • recorded effectively
    • trimmed and assembled
    • organized and accessible
    • leveraged for donor communication, stewardship, and campaign storytelling
  • Coordinate with Marketing to develop compelling multi-media content that enhances donor engagement


Marketing Partnership & Creative Coordination (Critical Function)

  • Serve as the primary coordinator between Development and Marketing as it relates to communications and collateral

  • Partner closely with Marketing teams, including:
    • content creators
    • graphic designers
    • photographers
    • videographers
  • Coordinate development communication requests and content needs with Marketing, including:
    • creative content requests
    • campaign materials
    • donor-facing storytelling assets
  • Coordinate:
    • communication of Development priorities to Marketing and assist in tracking deliverables against agreed-upon timelines.
    • Delivery of final products that meet Development needs

Project Coordination & Workflow Management

  • Coordinate and track communication timelines and deliverables across the Development team
  • Coordinate with:
    • Director of Giving & Engagement on planning and priorities
    • Director of Campaign & Major Gifts on campaign deliverables
    • Gift Officers on donor-facing materials
  • Ensure efficient movement of projects from concept to completion


Audience & List Coordination

  • Coordinate audience segmentation and communication lists in partnership with:
    • Director of Giving Operations & Analytics
  • Ensure communications reach the appropriate audiences
  • Support execution of targeted communications


Accountability

Development communications and content are delivered on time, accurately executed, aligned with articulated development strategies, and support donor engagement and stewardship goals.


Minimum Qualifications & Skills

  • Demonstrated ability to draft, edit, and adapt messaging for diverse audiences.
  • Experience coordinating multiple projects, deadlines, and stakeholders.
  • Ability to coordinate effectively across departments.
  • Strong organizational skills and attention to detail.
  • Experience using Prospect2, Active Campaign, Mailchimp, or other email marketing platform.


Preferred Qualifications & Skills

  • Experience in fundraising communications or nonprofit marketing.
  • Experience working with creative teams including graphic designers, photographers, videographers, and content creators.
  • Familiarity with audience segmentation, donor communications planning, and campaign execution.
  • Experience with project and task management platforms such as Asana, Airtable, or similar tools.
  • Basic proficiency with video editing, Canva, or other editing tools.


Compensation:
$60,000- $65.000 DOE
