Development Operations & Stewardship Manager

Position Summary

The French American School of Puget Sound (FASPS) seeks a highly organized, analytical, and service-oriented Development Operations & Stewardship Manager to oversee the day-to-day operations that support the school’s fundraising, donor stewardship, and constituent engagement efforts.

Reporting to the Director of Development, this position serves as the primary administrator for the school’s fundraising systems and development operations, ensuring the accuracy, integrity, and effective use of donor and constituent data. The Development Operations & Stewardship Manager manages gift processing, reporting, stewardship activities, campaign support, event systems, and development analytics while partnering closely with colleagues across Advancement, Finance, and School Leadership.

Success in this position is reflected in accurate and reliable data, exceptional donor stewardship, efficient fundraising operations, and responsive support for the Development team and the broader FASPS community.

Primary Responsibilities

Development Operations & Database Management

Serve as the school’s lead administrator for Raiser’s Edge NXT and related development systems.

Responsibilities include:

  • Maintain the accuracy, integrity, and security of all donor and constituent records.
  • Process gifts, pledges, recurring donations, matching gifts, and other philanthropic transactions.
  • Generate gift acknowledgments, tax receipts, and donor correspondence.
  • Develop and maintain reports, dashboards, mailing lists, and data exports for Advancement leadership, the Head of School, Board of Trustees, Campaign Cabinet, and other stakeholders.
  • Perform regular database audits, data cleanup, coding reviews, and duplicate management to ensure consistent data quality.
  • Establish and maintain data standards, documentation, and best practices for development operations.
  • Manage database imports, exports, integrations, and user support.
  • Recommend improvements to systems, workflows, and reporting that enhance efficiency and fundraising effectiveness.

Development Reporting & Analytics

Responsibilities include:

  • Produce monthly, quarterly, and annual fundraising reports.
  • Develop dashboards and key performance indicators for campaign performance, donor engagement, stewardship, and fundraising progress.
  • Analyze fundraising trends and donor activity to support planning and performance measurement.
  • Prepare customized reports and briefing materials for leadership, campaign committees, and major donor meetings.

Donor Stewardship & Constituent Engagement

Responsibilities include:

  • Prepare personalized acknowledgment letters, tax receipts, and stewardship communications.
  • Maintain donor recognition records and stewardship tracking.
  • Ensure timely, accurate, and personalized donor correspondence.
  • Support donor cultivation by maintaining comprehensive constituent profiles and interaction histories.
  • Partner with Advancement colleagues to deliver consistent, mission-aligned communications and engagement strategies.
  • Recruit, train, coordinate, and recognize parent and community volunteers supporting Advancement initiatives and fundraising events.
  • Foster positive volunteer experiences that strengthen long-term engagement with the school and encourage future philanthropic support.
  • Serve as a responsive and professional point of contact for donors, volunteers, and other constituents.

Campaign Operations & Prospect Research

Responsibilities include:

  • Conduct prospect research and prepare donor profiles to support cultivation and solicitation strategies.
  • Maintain campaign records, prospect pipelines, and fundraising dashboards.
  • Track campaign progress and prepare reports for campaign leadership and volunteers.
  • Coordinate campaign materials, donor briefings, and meeting support.

Event & Auction Operations

Responsibilities include:

  • Serve as the primary administrator for the school’s auction platform (Greater Giving or equivalent).
  • Manage auction database setup, item entry, donor records, registration, bidding systems, reporting, and post-event reconciliation.
  • Coordinate event-related data management before, during, and after fundraising events.
  • Coordinate volunteers supporting event operations.
  • Partner with Advancement staff, vendors, and volunteers to deliver a seamless guest and donor experience.
  • Prepare post-event reports and fundraising analyses to support future planning.

Financial Administration

Responsibilities include:

  • Reconcile gifts, pledges, campaign contributions, and event revenue on a regular basis.
  • Maintain accurate gift records and supporting documentation.
  • Support audit preparation and annual financial reporting.
  • Prepare financial reports for leadership and Board committees.

 

Requirements and Qualifications

Required

  • Bachelor’s degree or equivalent professional experience.
  • Minimum of three to five years of progressive experience in education or non-profit advancement services.
  • Demonstrated experience managing CRM systems.
  • Advanced proficiency with Microsoft Excel and Microsoft 365.
  • Exceptional organizational skills and attention to detail.
  • Strong analytical, written, and verbal communication skills.
  • Demonstrated experience managing multiple priorities while maintaining accuracy and confidentiality.
  • Demonstrated ability to build and sustain strong relationships with volunteers, donors, colleagues, and school leadership.

Preferred

  • Advanced proficiency with Raiser’s Edge NXT.
  • Experience with Greater Giving or comparable event fundraising platforms.
  • Experience supporting capital campaigns or major fundraising initiatives.
  • Experience developing fundraising reports, dashboards, and analytics.
  • Knowledge of independent schools or nonprofit fundraising.

The annual salary range for this position is $60,000 to $75,000, depending on qualifications and experience.
