Development Operations Associate

Reporting to the Director of Development, the Development Operations role is newly created to build necessary infrastructure, systems, and day-to-day operational support for all aspects of fundraising. The ideal candidate will be detail-oriented, driven to create the best possible fundraising systems, knowledgeable about donor databases (CRMs) and best practices in record keeping, and have a proven track record of effectively working remotely.
As a lynchpin position for a growing development team, the Associate position requires daily CRM data entry and reporting but also allows room for project-based work and creative problem-solving. The right candidate will want to excel at the responsibilities listed while also contributing their ideas on how to best build a thriving fundraising program at PSI.
About Postpartum Support International
Postpartum Support International (PSI) was founded in 1987 to increase awareness among the public and professional communities about perinatal mental health disorders (PMHDs). PMHDs include a wide range of emotional changes including Depression, Anxiety, Psychosis, Obsessive-Compulsive Disorder, Post-Traumatic Stress Disorder, and Bipolar Disorder.
As a nonprofit organization, PSI provides direct family support services; educates professionals on how to identify, diagnose, and treat PMHDs; and advocates for better policies to support mothers, parents, and families.
PSI’s vision is that every woman and family will have access to credible information, social support, and informed professional care to deal with mental health issues related to childbearing.
Responsibilities
Development Operations & Systems Management
Develop, maintain, and improve the efficiency of the organization’s development operations, specifically as it relates to our CRM: Neon.
Work with the Director of Development and CRM Manager to maintain accuracy and integration of PSI’s development data, records, and communication.
Keep meticulous donor records, including contact and organization details, donation records, updates, tracking, and reporting.
Contact donors when questions or concerns arise.
Deposit and track donations, coding each gift accurately to allow for accurate and timely financial reporting.
Maintain the operating infrastructure for our recurring gifts program.
Generate ad-hoc reports, as requested, in Neon to support prospecting, research, mailings, etc.
Report on final totals in various categories for annual impact report and other donor reports.
Perform routine reconciliations in coordination with the finance staff, ensuring our development systems align with and complement our financial systems.
Manage donor stewardship oversight including donor thanks/acknowledgments and email thank yous that are “system generated,” etc.
Monitor tribute donations that come in, to check for data that needs to be manually corrected (such as people not using real names in name fields) and to be able to “reconcile” gift data with contact records. Monitor if any incoming tributes suggest the need for a dedicated tribute page and reach out to donors, as appropriate.
Compose communications pieces about making tribute gifts (such as encouraging recurring donation tributes).
Document and update our development procedures and processes as we modify workflows and improve systems.
Monitor online donations for data to correct, donor comments to follow up on, etc.
Follow up on Pending/Failed/Deferred donations with donors.
Other email/phone follow-ups on items such as company match details.
Check in with PSI Chapters staff or Chapter board members when questions arise regarding Chapter donations.
Support the recruitment of recurring donations by sending annual donation summaries in January and special thanks, setting up recurring donation forms for campaigns (pre-selecting monthly donation option when the campaign is clear about it), and determining the suggested amounts for recurring forms/asks, as needed.
Pull reports from pass-through/third-party platforms (JustGive, Benevity, etc.) and import into Neon regularly.
Regularly import Meta (FB & IG) donations and other donations through Paypal.
Help set up and manage fundraising tools such as peer fundraising pages.
Alert CRM staff to duplicate accounts or other clean-up needed.
Donor Management & Portfolio Development
Conduct donor research as advised by the Director of Development.
Help maintain PSI’s individual and institutional pipeline and support MOVES management process.
Maintain timely gift acknowledgment processes, including as well as preparing, emailing, and/or mailing and tracking donor acknowledgment letters.
Support PSI’s email solicitations to our community, working closely with PSI’s MarComm team to develop segmented recipient lists, and ensure seamless execution and thorough quarterly performance analyses.
Support identifying and cultivating donor relationships, including preparing research memos, conducting outreach, drafting email updates, and scheduling meetings as needed.
Support portfolio management, select conference sponsorship solicitation, and other important outreach.
Internal Coordination
Support the annual audit by documenting transactions accurately and providing donor intent/donation support as requested.
Plan annual teamwide development download to provide a snapshot of how development operations and fundraising efforts are progressing at PSI and support the Director of Development in identifying areas of growth and improvement cross-functionally.
Collaborate with Membership on communications and solicitation strategies for health/mental health professionals to boost both Membership and other types of donations to PSI.
Collaborate with PSI Perinatal Alliance for People of Color and other departments on fundraising infrastructure.
Collaborate with the support services department to ethically invite “graduates” of HelpLine and peer support groups to donate to PSI.
Preferred Qualifications
Bachelor’s Degree
3+ Years experience working in a similar nonprofit role
Experience with donor databases and best practices
Highly organized, with a track record of strong decision-making and completing short-and long-term responsibilities in a fast-paced, deadline-driven, high-volume organization with discretion
Ability to work effectively full-time in a remote environment
Ability to work 8 hours/day Monday through Friday with at least 4 hours overlap with the Eastern time zone.
