Development Coordinator, Major Gifts and Operations Jobs in City of Kingston, New York, USA at Spaulding Hospital – Boston and Cambridge

Location: City of Kingston

Major Gifts Team Support:

Reporting to the Director of Major Gifts and Campaign: Provide administrative coordination and support, including managing logistics for meetings, scheduling, producing materials, and handling correspondence.

Database and Prospect Tracking: Record and track prospect/donor interactions, manage documentation and research in Atlas (Blackbaud CRM), generate reports, and assist with expense reports.

Fundraising Program Assistance: Support the grateful patient fundraising program with tasks such as running patient lists, scheduling meetings, recording actions in Atlas, and preparing correspondence.

Travel and Meeting Arrangements: Make travel and meeting arrangements, prepare itineraries, and assist with expense processing.

Gift Commitments Tracking: Book and track major/principal/planned gifts, review gift reports for accuracy.

Prospect Research: Assist with basic research using Google and Atlas, and support patient data tracking related to prospect development.

Donor Recognition Groups: Manage activities related to The President’s Council and the Francis “Hooks” Burr Society.

Board and Department Meetings: Assist with scheduling and logistics for Development Committee meetings and departmental meetings.

Other

Activities:

Support additional major gifts activities as needed.

Operations and Systems Support:

Support operations and systems activities, including budget tracking and vendor invoice management.

Handle expense submissions, follow-up on invoices and POs, and archive contracts.

Download and update online gift transactions, maintain tribute records, and update Atlas records.

Prepare pledge reminders and assist with onboarding logistics for new staff.

Business Administration:

Log all cash and checks, reconcile bank statements, and monitor department credit card use.

Coordinate office supplies, process in-kind donations, and record recognition efforts and naming opportunities.

Monitor donor inquiries via phone and online inbox.

Other Duties:

Collaborate with team members for office support and provide coverage as needed.

Availability outside regular hours for events, including weekends, is required.

Qualifications:

Bachelor’s Degree preferred; experience in lieu of degree not accepted.

2-3 years in fundraising, non-profit management, or communication.

Strong research, analytical, organizational, and time-management skills.

Knowledge of fundraising principles and proficiency with Microsoft Office and database management software.

Ability to work effectively in a team environment.
