Job Summary
Reporting to the Executive Director of Corporate, Foundation, and Strategic Initiatives, the Coordinator supports the Office of Strategic Initiatives (OSI) in advancing the College’s fundraising goals through grant seeking. The coordinator provides administrative, research, and project management support to OSI team members. This position assists with managing grant application processes, maintaining donor records, supporting stewardship activities, identifying funding opportunities, and coordinating with partners across Institutional Advancement, as well as with key campus partners, including faculty, the Sponsored Research Office, the Business Office, and others. The coordinator plays a key role in advancing private philanthropy at Oxy by ensuring timely, accurate, and donor-centered engagement.
This position is represented for purposes of collective bargaining by SEIU.
Upon successful completion of the probationary period, this role is eligible for a hybrid work arrangement, requiring three days on-site per week.
Job Duties
- 50% – Support for Grants, Prospects, and Pipeline Development – Provides project management and support for the development, submission, and tracking of grant proposals, reports, and supporting documentation. Maintains grant calendars and monitors deadlines throughout the grant lifecycle. Gathers organizational, financial, and programmatic information required for grant proposals and report submissions. Ensures alignment with institutional policies and procedures for grant management. Coordinates meetings, campus visits, and donor engagement activities. Assists in preparing stewardship reports and impact communications and supports efforts to strengthen relationships with current and prospective funders. Conducts prospect research on corporate and foundation funders, monitors funding opportunities, and distributes relevant information to internal stakeholders. Maintains prospect profiles and funding opportunity records in Salesforce (CRM). Supports cultivation strategies by preparing briefing materials and prospect analyses. – (Essential)
- 30% – Database and Records Management – Tracks donor interactions and maintains accurate, up-to-date records related to corporate and foundation funding. Ensures data integrity and hygiene in Salesforce. Ensures compliance with organizational policies and donor requirements. Organizes and manages electronic files related to grants and donor agreements. – (Essential)
- 20% – Cross-Functional Collaboration – Provides efficient and effective support to faculty grant seekers. Coordinates internal reviews and approvals for grant submissions in partnership with the Sponsored Research Office (SRO). Actively participates in development team meetings and planning activities. Assists with special projects and Institutional Advancement (IA) events that support the College’s fundraising goals. Performs other duties as assigned. – (Marginal)
Minimum Qualifications
- Bachelor’s degree in liberal arts or other fields related to position responsibilities, or an equivalent combination of education and experience.
- Three years of experience in fundraising, grant administration, nonprofit development, donor relations, higher education, project management, or other relevant administrative experience.
- Ability to analyze, synthesize and organize data, and present findings in a cogent manner for different audiences.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google drives/folders/forms, Adobe Acrobat, or any combination of productivity programs applicable to position responsibilities.
- Demonstrated detail-orientation and thoroughness; skilled at anticipating and preventing potential problems and handling a wide variety of tasks with efficiency and accuracy.
- Strong commitment to a quality work product.
- Demonstrated ability to effectively communicate verbally, in writing and electronically. Effective interpersonal skills as evidenced in the ability to collaborate with a variety of constituencies.

Preferred Qualifications
- Experience using and maintaining Salesforce or other CRM is very desirable; experience working with faculty.
EXPECTED HIRING RANGE: $20.19/hr-$26.00/hr
If you are offered this position at Occidental College, your final base salary compensation will be determined based on factors such as skills, education, experience, and/or geographic location. In addition to those factors, Occidental complies with applicable pay equity laws and considers internal equity among current employees when developing the final offer. Please keep in mind that the range mentioned above is the base salary range for the role. Hiring at the maximum of the range would not be typical in order to allow for future and continued salary growth. We also offer a generous compensation and benefits package.
