Position Description
Bishop Blanchet High School is seeking highly qualified applicants for the position of Development Assistant and Database Specialist. We are looking for a faith-filled team member, dedicated to Catholic education, who excels in customer service and fostering positive experiences, and is deeply committed to clear communication, organizational effectiveness and working collaboratively as a team member of the BBHS Development Department. The applicant must possess exceptional organizational skills, be a strong writer with excellent oral and written communication skills, all while using a wide range of communication vehicles. Lastly they will serve as a campaign support member for the capital campaign and its related efforts.
Responsibilities
In addition to ensuring continued financial support for Bishop Blanchet High School by providing administrative assistance for daily development operations and fundraising events the Development Assistant is the primary lead for all data entry.
Database Management and Reporting
- Manage all aspects of the Raiser's Edge NXT database, including data accuracy, updates and corrections.
- Perform Raiser's Edge NXT global updates, as well as coordinate with the Registrar and Admissions office to ensure a smooth integration of contact information and the pledge collection process in Finalsite and Skyward for students and their families.
- Produce monthly financial reconciliation reports for the Business Office.
- Document, implement and enforce development policies, such as gift processing policies, data entry policies, and reporting guidelines.
- Escalate discrepancies, missing information, or unusual gift activity for clarification before processing.
- Design and implement database queries, exports, and reports as requested. Provide updated reports on gifts, pledges, progress towards fundraising goals, and other financial data as requested either through regularly scheduled updates or upon request.
- Develop and produce mailing lists and labels, donor recognition lists, data files, prospective donor lists, and other information using Raiser's Edge NXT reporting tools for the Annual Fund, Campaign, other school fundraisers and mailings.
- Effectively utilizes Raiser's Edge NXT, Excel, Google Suite and other software programs to capture, retrieve, calculate and report data or manage fundraising lists.
- Assist in updating records for students and parents on an ongoing basis.
- Develop and implement ongoing plans to improve the integrity of the database, particularly information on alumni.
Gift Processing & Financial Oversight
- Ensure timely entry of all gifts into Raiser's Edge NXT and prompt delivery of accurate acknowledgment letters and tax receipts to donors. Generate gift schedules, and mail pledge reminders to donors.
- Endure donor intent, gift designation, and supporting documentation are confirmed and accurately reflected before processing every gift.
- Track matching gifts, confirm and submit match requests; receive and deposit corporate matches in Raiser's Edge NXT.
- Ensure that gift agreements have been executed for all multi-year pledges.
- Prepare tax letters and the donor recognition lists for the School's Annual Report.
- Prepare wealth screening reports for potential donors.
- Ensure confidentiality of Raiser's Edge NXT data including addresses, donor records and gift history.
- Work with the Business Office to support reconciliation of our gift entry.
Development Department Support
- Serve as support to the Director of Development, making appointments and maintaining the department calendar.
- Provide support for fundraising efforts (annual fund, campaigns) through donor outreach, including making phone calls, sending emails, and assisting with engagement activities to cultivate and steward potential donors.
- Assist with Shine Gala mailings and data entry of gala cash and tangible donations into the Greater Giving database.
- Assist with tagging and managing the storage and organization of the donated items. Create certificates, produce bid sheets and lot tags.
- Track parent auction donations and enter gifts and sponsorships as necessary in Raiser's Edge NXT.
- Assist and attend fundraising and school house events.
This position requires some nighttime and weekend work
Preferred Qualifications
- BA degree in Business, Communications, Marketing, Sales, or a related field, or a minimum of 3 years of experience in a comprehensive development program.
- Three to Five years of current database experience in a CRM (preferably Raiser's Edge NXT)
- Understand the operations of a sophisticated data management system
- Advanced understanding of Google Suite and Excel spreadsheets
- Experience analyzing and manipulating data
- Familiarity with Constant Contact, Greater Giving and Finalsite
- Extremely organized and detail oriented
- Ability to communicate effectively in writing and orally
- Ability to work with people at all levels
Compensation And Benefits
The compensation range for this role is: $27.90 – $34.10/hr Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, degrees, and certifications.
This is a non exempt/hourly position that is eligible for overtime. This year round, full-time position is scheduled to work 40 hours per week.
