PPSO provides more than 30,000 patient visits each year at four health centers and via telehealth. PPSO is also regarded as the region’s most respected provider of medically accurate sexuality education for young people and adults, as well as training programs for professionals who work with youth and families. Position Summary

The Development Assistant is responsible for supporting Development Department initiatives and donor stewardship activities through various administrative and data entry duties and serves a key role on the development team as a point of contact for internal and external stakeholders.

RESPONSIBILITIES:

Essential Duties

Database Work

Ensure timely and accurate data entry and record keeping in database including gift-related data, donor contact information and preferences, donor activity, and account updates.
Provide analytic data regarding donor activity and information, including database-related materials such as labels, reports, merged letters, and financial data, as requested or assigned.
Manage the reconciliation process with Finance to reconcile database with accounting software to ensure accurate records of donations – including grants, online gifts and monthly giving.
Process and enter donations in compliance with department processes and procedures – including checks, credit cards, grants/foundation gifts, donor advised funds, and 3rd party vendors; prepare bank deposits and deposit gifts as needed.
Process, prepare, and mail acknowledgments and tax receipts in compliance with department processes and protocols.
Create, modify, and format reports from CRM to support data maintenance including donation reports, prospect lists, and weekly reports.

Administrative Support

Supporting creation and editing of outbound communications – including proof-reading, design, and audience strategy and segmentation.
Communicate with internal and external stakeholders – including staff, donors, and volunteers – in accordance with PPSO standards for written and verbal communication.
Maintain, create, and update documentation of department processes and protocols.
Support Development event activities, including tracking attendance, creating signage and event materials, staffing, and other duties as assigned.
Maintain and update project management tools to support individual and department activities.
Participate in and support strategic planning, special projects, and campaigns as requested or assigned.
Stay apprised of best practices and industry changes; make recommendations as appropriate or requested.

QUALIFICATIONS AND EXPERIENCE:

Minimum Required Qualifications

High school diploma or equivalent.
At least two (2) years’ experience using Microsoft Office Suite, with strong skills in Excel, Word, and PowerPoint.
At least one (1) year experience with database management systems.
At least one (1) year experience in a customer service or administrative role.
Will consider any combination of education and training that has provided the knowledge and skills required to perform this role.

Preferred Qualifications

Bachelor’s degree in related field.
Experience in accounting, budget management, and/or data collection.
Experience in project management and/or volunteer management.
Fundraising or nonprofit related administrative experience.
Familiar with Salesforce Nonprofit Success Pack, EveryAction, and/or another relevant fundraising database.
Experience working directly with historically and systemically oppressed communities.
Proficiency in Spanish is preferred.

Travel & Availability Requirements

This is a hybrid position with some travel required on an occasional basis.
