2. About the Opportunity:

The Coordinator, Event Planning & Experience, 3-Day Crew is responsible for managing the recruitment, training, and on-event execution of Crew and volunteers for a large-scale fundraising event series. This role ensures an excellent experience for Crew members while supporting operational success and participant engagement. The Coordinator works closely with internal teams, contractors, and volunteer leaders to maintain a mission-driven Crew program that enhances satisfaction, retention, and fundraising outcomes.

3. Responsibilities:

• Develop and execute recruitment strategies to staff Crew and volunteers for all 3-Day events

• Build and maintain relationships with Crew members, Crew Captains, and volunteers to support retention and engagement

• Serve as the primary contact for Crew communications

• Lead Crew operations planning with event staff and production teams

• Assign Crew roles, schedules, and manage event logistics

• Oversee Crew check-in, orientation, training, and onsite support during events

• Ensure Crew have necessary resources and information for participant support

• Recruit, train, and manage Crew Captains and leadership volunteers

• Provide guidance, recognition, and accountability to Crew Captains

• Promote a positive and inclusive culture among Crew

• Drive fundraising growth by coaching and supporting Crew in meeting goals

• Collaborate with cross-functional teams to integrate Crew efforts into the overall event

• Monitor engagement metrics and provide post-event analysis and improvement recommendations

• Perform other duties as assigned

4. Requirements:

• 2–5 years’ experience in development, communications, special events, public relations, or community affairs

• Strong customer service and motivational skills for diverse stakeholders

• Ability to work independently and collaboratively

• Excellent planning, organizational, and follow-up skills

• Professional interaction with staff, volunteers, sponsors, and donors

• Proven ability to manage multiple projects with competing priorities

• Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and SharePoint

• Ability to translate scientific and medical information for lay audiences

• Knowledge of communications principles and ethical practices

• Strong written and oral communication skills, including business and news writing, presentations, and virtual communication

• Familiarity with social media and digital communication platforms

• Willingness and ability to travel to four events per year and work evenings/weekends as needed

Preferred:

• Knowledge of community organization, fundraising, marketing principles, and voluntary health agency experience

5. Pay Range and Compensation Package:

• Competitive hourly range of $21.03 to $26.67, with exact compensation based on skills, experience, geographic location, labor market, job level, internal equity, and budget
