Position Overview
The Contract Manager is responsible for overseeing the organization’s contract administration and reimbursement processes to ensure compliance, financial accuracy, and timely invoicing for state-funded and grant-supported programs. This position serves as the central point of coordination for contract management, invoice preparation, deliverable tracking, and participant documentation to support organizational funding and operational success. Working closely with program staff, leadership, and the finance team, the Contract Manager ensures that contractual obligations are met, invoices are accurate and submitted on time, and all required documentation supports reimbursement. This role is ideal for a highly organized professional with experience managing contracts, financial documentation, and administrative processes while maintaining exceptional attention to detail. Reporting to the Director of Operations, the Contract Manager plays a critical role in ensuring the financial integrity and compliance of organizational contracts while supporting the sustainability of Memory Care Home Solutions’ programs.
Key Performance Objectives and Responsibilities
Contract Management – 30%
- Manage the full lifecycle of organizational contracts, including execution, renewals, amendments, and compliance requirements.
- Maintain organized contract files and supporting documentation.
- Track contract deadlines, deliverables, reporting requirements, and renewal dates.
- Coordinate with internal staff and external partners to ensure contractual obligations are fulfilled.
- Monitor contract performance and proactively identify compliance concerns or opportunities for improvement.
Invoice and Financial Management – 30%
- Review invoices and supporting documentation for completeness and accuracy.
- Prepare and submit invoices to government agencies and other funding partners.
- Track invoice status from submission through payment.
- Work collaboratively with accounting staff to reconcile accounts receivable and resolve payment discrepancies.
- Maintain organized records supporting all invoicing and reimbursement activities.
Program and Participant Tracking – 30%
- Track participants receiving services through caregiver support programs, Alzheimer’s Association initiatives, and other contracted services.
- Verify participant eligibility and required documentation before invoicing.
- Ensure service documentation aligns with contract and funding requirements.
- Maintain accurate databases supporting reimbursement and reporting.
Compliance, Reporting and Process Improvement – 10%
- Prepare reports related to contract performance, invoicing, and reimbursement activities.
- Recommend improvements that streamline contract management and invoicing processes.
- Ensure compliance with organizational policies and state and grant funding requirements.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Finance, Accounting, Healthcare Administration, Nonprofit Management, or a related field preferred.
- Three or more years of experience in contract management, financial administration, accounts receivable/payable, grants administration, or a related role.
- Demonstrated ability to manage multiple contracts, deadlines, and financial processes simultaneously.
- Strong organizational, analytical, and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, particularly Excel
- Ability to maintain confidentiality and exercise sound judgment when handling financial and contractual information.
Preferred Qualifications
- Experience working with nonprofit organizations or healthcare organizations.
- Experience managing state contracts, grant funding, or government reimbursement programs.
- Familiarity with accounting software and electronic document management systems.
- Knowledge of Medicaid, Medicare, or other publicly funded healthcare programs is preferred.
Working Conditions
This role offers a balance of office-based work and time spent building relationships with funding partners.
- Primarily office-based with occasional meetings with community partners or funding agencies.
- Standard business hours with occasional flexibility during reporting or invoicing deadlines.
- Prolonged periods of computer work and document review.
- Occasional travel may be required for meetings, trainings, or conferences.
Pay: $55,000.00 – $60,000.00 per year
