This short-term consulting role supports the delivery of international exchange and professional development programs for participants traveling across the United States. You will play a key role in ensuring smooth program execution by coordinating logistics, participant travel, and on-the-ground program activities. The position involves close collaboration with program staff, vendors, host institutions, and participants to manage schedules, resolve logistical issues, and maintain clear communication throughout the program lifecycle. You will contribute directly to creating a seamless experience for visiting students and professionals from the Eurasia region. The environment is fast-paced and highly detail-oriented, requiring strong coordination skills and adaptability. This role is ideal for someone who enjoys international program work, logistics management, and cross-cultural engagement.

Accountabilities

  • Support the planning and execution of program activities such as orientations, site visits, trainings, cultural events, and closing sessions.
  • Coordinate participant travel logistics, including arrivals, departures, accommodations, transportation, and domestic travel arrangements.
  • Maintain and update detailed travel and program tracking documents, including schedules, participant lists, contact information, and logistical checklists.
  • Serve as a liaison between participants, program staff, vendors, and partner organizations to ensure smooth communication and execution of activities.
  • Provide on-site and real-time support during program activities, including check-ins, troubleshooting, scheduling support, and participant assistance.
  • Assist with participant communication, providing clear instructions, reminders, and updates before and during program activities.
  • Collect, organize, and maintain program documentation such as attendance records, feedback forms, waivers, and evaluation materials.
  • Support reporting tasks by compiling data, drafting summaries, and organizing program materials for internal use.

Requirements

  • Bachelor’s degree in international relations, social sciences, education, public administration, or a related field preferred.
  • Experience supporting exchange programs, educational programs, fellowships, or similar international initiatives is highly desirable.
  • Strong experience in logistics coordination, event planning, or travel management for groups.
  • Excellent organizational skills with the ability to manage multiple schedules, deadlines, and detailed logistical workflows.
  • Strong communication skills in English, with Russian language proficiency strongly preferred.
  • Ability to work independently while coordinating effectively with cross-functional teams and external partners.
  • Strong cross-cultural communication skills and experience working with diverse international participants.
  • Proficiency with Microsoft Office tools (Word, Excel, Outlook, Teams, PowerPoint).
  • Flexibility to work occasional evenings, weekends, or irregular hours during active program periods.
