Job Overview
Hi Neighbor Cannabis Club is seeking an organized, creative, and community-minded Community & Events Coordinator to plan and execute events that strengthen our neighborhood presence, attract new customers, deepen customer loyalty, and support the company’s sales and marketing goals.
This role is responsible for turning Hi Neighbor’s event strategy into well-organized, memorable experiences. Events may include comedy nights, artisan markets, vendor activations, educational programs, product launches, community partnerships, customer-appreciation events, and other in-store or neighborhood programming.
The Community & Events Coordinator will work closely with the Marketing & Sales Manager, Retail Performance Manager, Operations, Sales Floor leadership, and outside partners. The role requires strong planning, communication, follow-through, and the ability to coordinate multiple contributors against clear timelines.
This is an execution-focused position. The successful candidate will not simply generate event ideas; they will create plans, secure participants, manage logistics, communicate responsibilities, and ensure events are ready to launch on time.
Reporting Relationship
Reports to the Marketing & Sales Manager.

This role does not supervise store employees unless specifically assigned responsibility for temporary event staff.
Key Responsibilities
Event Calendar and Planning
- Maintain a rolling 90-day community and events calendar.
- Translate company priorities, seasonal opportunities, product launches, and promotional themes into executable event plans.
- Develop event timelines, checklists, budgets, staffing needs, and assignment lists.
- Establish clear internal deadlines for vendor confirmation, marketing materials, product ordering, staffing, permits, setup, and training.
- Ensure events are planned far enough in advance to allow Purchasing, Marketing, Operations, and the sales floor to execute successfully.
- Prepare an event brief for each approved event outlining its purpose, audience, sales objective, promotional connection, responsibilities, and key deadlines.
Community Partnerships
- Identify and build relationships with local artists, musicians, comedians, authors, food vendors, small businesses, nonprofits, neighborhood organizations, and community leaders.
- Recruit vendors and participants who align with Hi Neighbor’s brand and customer community.
- Maintain a database of community partners, contact information, event history, requirements, and performance.
- Develop recurring partnerships rather than rebuilding the vendor list for every event.
- Represent Hi Neighbor professionally in community meetings and external outreach.
Vendor and Brand Activations
- Coordinate cannabis-brand participation in vendor days, product launches, educational sessions, and sponsored events.
- Work with the Retail Performance Manager and Purchasing team to identify brands and products that support the commercial calendar.
- Confirm sponsorship commitments, promotional support, product availability, brand ambassadors, signage, and event-day responsibilities.
- Ensure vendor activations comply with company policy and applicable cannabis regulations.
Event Execution and Logistics
- Coordinate event setup, breakdown, floor plans, equipment, entertainment, food vendors, signage, parking, security, and customer flow.
- Communicate schedules and responsibilities to all participating departments and outside partners.
- Conduct pre-event readiness checks and resolve gaps before the event begins.
- Be present for major events and serve as the primary on-site coordinator.
- Maintain a professional, welcoming, organized environment throughout each event.
- Develop contingency plans for weather, cancellations, staffing issues, equipment problems, and other foreseeable disruptions.
Marketing Coordination
- Provide Marketing with complete event information, confirmed participants, promotional offers, photos, deadlines, and creative requirements.
- Support the development of event content for email, SMS, social media, the website, in-store signage, and community outreach.
- Ensure event information is accurate and finalized early enough for effective promotion.
- Collect event-day photos, video, testimonials, and partner content for future marketing use.
- Coordinate post-event acknowledgment of vendors, partners, performers, and community participants.
Sales and Customer Engagement
- Work with the Retail Performance Manager to connect events to relevant products, bundles, brands, and sales objectives.
- Coordinate with Sales Floor leadership on event talking points, featured products, staff education, customer engagement, and loyalty enrollment.
- Help design event experiences that encourage customer acquisition, repeat visits, product discovery, and larger baskets.
- Ensure promotional activity and customer messaging are clearly communicated before each event.
Budget and Administrative Accountability
- Develop and track event budgets.
- Obtain required approvals before committing company funds.
- Collect invoices, agreements, insurance documentation, permits, and payment information.
- Maintain organized records for vendors, sponsors, performers, and event expenses.
- Identify opportunities for sponsorships, cost sharing, in-kind support, and vendor-funded programming.
Performance Measurement
- Prepare a short post-event recap after each major event.
- Track relevant measures, including:
- Attendance
- New customers
- Loyalty enrollments
- Event-period sales
- Average order value
- Featured-product sales
- Vendor participation
- Promotional redemption
- Marketing engagement
- Event cost and return
- Identify what worked, what did not, and what should change for future events.
- Use results to improve the recurring events calendar and future investment decisions.

Qualifications
- Two or more years of experience in event coordination, community engagement, hospitality, retail marketing, brand activation, or a related field preferred.
- Strong organizational and project-management skills.
- Ability to manage multiple deadlines, vendors, and internal stakeholders.
- Strong written and verbal communication skills.
- Professional judgment and comfort representing the company externally.
- Experience working with local businesses, performers, nonprofit organizations, or community groups is preferred.
- Ability to work evenings, weekends, and holidays when events require it.
- Comfortable working in a regulated cannabis retail environment.
- Familiarity with spreadsheets, calendars, project-management tools, budgets, and basic performance reporting.
- Must meet all legal requirements for employment in a California cannabis business.
Work Environment and Schedule
This is an on-site, hourly position with a schedule that may vary based on the event calendar. Evening and weekend availability will be required. Some planning and administrative work may be completed remotely when approved, but the role requires regular presence at the store and at company events.
Pay: $24.00 – $26.00 per hour
