Client Care & Administrative Coordinator (Full-Time, Hybrid)

Position Overview: The Client Care & Administrative Coordinator supports the Therapeutic Play Foundation’s programs by ensuring efficient client onboarding, administrative operations, and office management from intake to discharge. Reporting to the Programs Administrative Manager, this hybrid role combines client care coordination with administrative support, maintaining efficiency across CalAIM, STRTP, and Healthcare Access programs. This position collaborates closely with internal billers and the finance team to ensure accurate processing of client benefits, billing, and financial documentation.

Key Responsibilities:Client Care & Onboarding:

Coordinate benefit verification and ensure clients meet eligibility requirements.
Manage and oversee the client onboarding process, ensuring all required documentation is collected and completed.
Verify insurance benefits, process authorizations, and enter data into Electronic Health Record (EHR) systems.
Manage client intake workflows, ensuring timely follow-ups and tracking via Slack and EHR systems.

Administrative Support & Office Management:

Assist with document organization, records management, and compliance tracking.
Manage inventory and supply orders to ensure program materials are available.
Coordinate facilities maintenance, schedule repairs, and monitor office upkeep.

Billing, Finance & Compliance Support:

Coordinate and verify medical billing tasks are completed by internal billers and ensure accurate claims processing.
Collaborate with the internal billing team and finance department to ensure timely processing of claims, reimbursements, and financial documentation.
Assist in tracking and reviewing insurance reimbursements and claims status.
Review timesheets and verify hours worked before submission to the Programs Administrative Manager.
Ensure compliance with HIPAA, healthcare privacy regulations, and program standards.

Client & Team Coordination:

Serve as the point of contact for non-client phone inquiries from contractors, suppliers, and partners.
Assist clients in completing healthcare forms, scheduling onboarding sessions, and addressing inquiries.
Collaborate with the Accounting Team, Finance Team, and Programs Administrative Manager to streamline billing and documentation workflows.

Preferred Qualifications:

1-3 years of experience in administrative support, client care coordination, or healthcare administration.
Experience coordinating and verifying medical billing tasks, insurance verification, or claims tracking preferred.
High school diploma required; Associate’s or Bachelor’s in business administration, healthcare, or a related field preferred.
Proficiency in EHR systems, Microsoft Office, Slack, and project management tools.
Strong organizational and communication skills, with the ability to manage multiple tasks.
Familiarity with healthcare insurance processes, claims management, and HIPAA compliance preferred.
