Child Action, Inc. (CAI) is a private, non-profit corporation created in 1976 to promote the education and social welfare of children and families and to advocate on their behalf. Our programs include resource and referral services for families seeking childcare, child care subsidies for qualifying families, recruitment and professional development of the child care workforce, and family education and support.
We are seeking individuals who are highly organized, have the ability to multi-task, provide excellent customer service, have good problem-solving skills and have the ability to understand the problems and issues facing families from a variety of ethnic and economic communities.

Position Purpose & Scope:
Under the general supervision of the Program Supervisor- Child Care Subsidy, the Child Care Subsidy Coordinator manages and processes applications for subsidized childcare services, ensuring compliance with local, state, and federal regulations. This role involves conducting detailed eligibility assessments, enrolling new families, processing recertifications, and maintaining accurate records. The coordinator serves as a primary point of contact for families seeking assistance and must provide exceptional customer service while upholding program integrity. The coordinator must be organized and can work in a fast-paced time-sensitive environment. The coordinator reports to the Program Supervisor. Must be able to obtain County security clearance to access confidential records and maintain confidentiality when handling sensitive information.
Typical Duties:
Case Management
Conduct intake interviews, verify documentation, and determine eligibility for childcare subsidy programs.
Maintain accurate family and child records while ensuring compliance with federal, state, and agency regulations.
Monitor caseloads, track recertifications, and process client changes to maintain ongoing eligibility.
Communicate program requirements, policies, and expectations clearly to families.
Coordinate with the Department of Human Assistance and other agencies to verify client status and ensure compliance.
Communication & Client Support
Provide clear and professional communication to families, providers, and external partners.
Assist parents with understanding their responsibilities, including co-payments and attendance tracking.
Respond to client inquiries, both in person and via phone, regarding subsidy eligibility, application status, and program guidelines.
Mediate and resolve disputes between parents and providers regarding eligibility, payments, or policy misunderstandings.
Collaborate & Client Support
Work closely with the Payment Unit to resolve attendance and provider payment discrepancies.
Coordinate with the Provider Unit to update provider details and confirm compliance requirements.
Assist in training new Case Managers by providing job shadowing opportunities.
Participate in regular department, unit, and team meetings, and training workshops.
