About The Role
Park Hill Fine Art Portraits is seeking a highly organized, proactive, and personable Charity & Partnership Marketing Coordinator to support our growing philanthropic marketing initiatives. This role is critical in managing our silent auction donations, strengthening community partnerships, and ensuring a seamless experience for organizations and VIP clients.
Key Responsibilities
Coordinate with a virtual assistant who identifies charity events and sends introductory outreach
Manage daily email volume (2030/day), responding to acceptances/declines and coordinating delivery or pick-up of donation materials
Track all donation activity, leads, and bookings in detailed spreadsheets and reports
Own the logistics of printing, prepping, and mailing portfolios, certificates, and self-addressed return envelopes
Be the point of contact for volunteers picking up display samples
Answer inbound calls regarding donation inquiries with professionalism and warmth
Serve as the VIP liaison for session winners, ensuring follow-up and booked appointments
Maintain and update donation marketing materials using Adobe Photoshop
Proactively follow up with auction winners who haven’t booked their session
Collaborate with alliance partners to gather mailing lists and ensure marketing alignment
Prepare and stuff physical mailings as part of our broader direct marketing strategy
Maintain all necessary supplies (envelopes, stamps, prints) and reorder as needed
Report weekly to the VP of Operations with status updates and metrics

Know your way around Photoshop (basic updates only; no design from scratch)

Are comfortable juggling a high email volume with logistics and occasional client interaction
Nice To Have (But Not Required)
Experience in nonprofit, events, partnerships, or B2B coordination
Prior work in a high-end customer service or creative brand
Familiarity with CRM systems or database tracking tools
