Position Overview

The CFG Operations and Program Manager owns the day-to-day operations, quality, and continuous improvement of the Created for Greatness (CFG) Mentor Program. This role manages program planning and development, mentor and student experience, school-district partnerships, data and reporting, and budget administration, with the goal of building an efficient, well-documented, and scalable program model that can grow within the Pottstown School District and, over time, into additional communities.

Duties and Responsibilities

Responsibilities include but are not limited to:

Programs

● Coordinate program planning and development of the CFG program, including identifying opportunities to strengthen or expand programming

● Schedule and execute programs in compliance with established CFG program standards

● Review and refresh the mentor training and orientation curriculum to ensure it remains relevant and responsive

● Work in partnership with school officials to manage program logistics, oversee daily operations, coordinate the activities of the program, and set priorities for managing the program

● Conduct recruitment, intake, and orientation process for students in accordance with defined program protocols and mentor/mentee needs

● Thoughtfully pair students with mentors, and mentors with students, using program criteria to support strong, well-matched mentoring relationships

● Plan and implement CFG recruitment events to cultivate connections between community-based organizations, residents, program participants, families, and school faculty

● Participate in community outreach events to create awareness and recruit mentors

● Serve as a liaison with the School District administration and faculty

● Schedule and facilitate regular check-ins with mentors, students, and parents

● Maintain weekly documentation, paperwork, and notes pertaining to CFG. Provide reports and feedback to Operations for impact analysis

● Gather mentor/mentee experience stories to share with MarComms

● Coordinate mentor availability and scheduling to ensure before, during, and after school coverage for the CFG program

● Interview and vet all prospective mentors, including relevant collection/maintenance of required Child Protective Service Law documentation. Coordinate with the school district to ensure all CFG mentors are compliant and have completed the necessary paperwork

Operations

● Collect and analyze all program data and surveys for program reporting

● Evaluate program policies. Ensure that they address the students’ needs, are effectively administered, and are fairly applied

● Monitor and optimize recruitment, intake, training, and orientation processes for volunteers/mentors

Marketing/Communications (MarComms)

● Regularly share positive stories and celebrate the impact of the CFG program

● Market CFG recruitment events in local communities

● Maintain an online presence for STRIVE and the CFG program through social media

Finance

● Assist in preparing program budgets; administer approved amounts, ensuring compliance

Qualifications

● Minimum 2–3 years of related experience planning and managing one or more programs for a nonprofit organization, including fundraising, budgeting, and community outreach; supervisory or program-leadership experience preferred

● Forward-thinking, with the ability to crystallize ideas into executable plans

● Able to handle multiple competing priorities in a fast-paced environment

● Demonstrated initiative and flexible thinking with the ability to pivot quickly

● Excellent planning, time management, and organizational skills

● Strong attention to detail and excellent problem-solving skills

● Able to thrive under pressure during events and periods of quick scaling

● Excellent organizational and follow-through skills; ability to multi-task, prioritize, and work under deadlines

● Solid verbal and written communication skills

● Strong interpersonal skills

● Ability to maintain strict confidentiality and communicate professionally with staff, funders, vendors, and community stakeholders
