JOB SUMMARY:
Reporting to the Director of Ticketing, the Box Office Coordinator performs duties related to ticket sales, general customer service, and other administrative work for the Historic Tennessee Theatre Foundation (HTTF), a nonprofit organization. This is a full-time, non-exempt hourly position. The individual in this role must be a highly detail-oriented and technology savvy self-starter to perform essential duties in ticket sales, customer service, and general administrative support for the Tennessee Theatre. The Box Office Coordinator plays an important role by serving ticket customers by phone and walk-up during our business hours; and assisting in ticketing database building & management. The Tennessee Theatre also serves as the weekday (non-show) box office for the Bijou Theatre.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Selling event tickets in Ticketmaster’s Archtics system by phone and walk-up at the box office.
- Handling customer inquiries by phone, email, and walk-up at the box office about upcoming shows, ticket availability, and other general questions; directing inquiries to other appropriate team members.
- Assists in building events for the Tennessee Theatre in both Ticketmaster’s EMT, Archtics, and TM1; all procedures that go along with that, including Dynamic Pricing submission, Platinum Pricing submission, Creating Seating Maps, Downloading Reports for Settlement folder, placing inventory for sale, etc.
- Aides management in monitoring tour/event needs provided by the Ticketing department; reporting, ticket counts, discount tracking, etc.
- Oversees Night-of-show needs for an operational Box Office; including pricing signage, Platinum Reports, VIP Reports, and other supporting documents for a successful performance.
- Support routine and regular tasks related to ticketing and sales, such as printing tickets for show comp tickets; updating internal and external show information sheets; running daily ticket counts; filling gift card and in-person gift shop orders; handling and processing cash from daily sales.
- Perform other administrative duties to ensure a highly functioning event venue, such as organizing lost & found items; maintaining tidiness of the lobby area and entry space; ensuring all relevant materials are stocked and displayed appropriately; other duties as assigned.
- Availability to work Monday-Friday between the hours of 9 AM – 5 PM as well as some evenings, weekends, and holidays. Will apply for 20% of available events monthly.
KNOWLEDGE, SKILLS, & ABILITIES:
- Knowledge of point of sale, ticketing systems, and theatre/venue processes
- Computer literacy and technology proficiency in standard word processing, spreadsheet and ticketing software applications required.
- Excellent interpersonal skills.
- Ability to communicate in a congenial and professional way via phone, email, and in person.
- Ability to work independently and successfully manage multiple projects with competing deadlines, in a busy, sometimes noisy, office environment.
- Ability to learn new skills quickly and apply new knowledge to the tasks at hand.

PHYSICAL REQUIREMENTS:
- Availability to work Monday-Friday between the hours of 9 AM- 5 PM as well as evenings, weekends, and holidays. Will apply for 20% of available events monthly.
- Ability to clearly communicate verbally in person and over the phone.
- Ability to hear clearly in different environments, including in person, by phone, and over other sounds to understand and distinguish speech and/or other sounds.
- Ability to sit for long periods of time.
- Clarity of vision at approximately 20 inches or less, including use of computers.
- Entering text or data into a computer or other machine by means of a traditional keyboard. EDUCATION AND EXPERIENCE:
- A minimum of one (3) years in customer service or live event industry, with direct ticketing experience preferred.
- Associate degree required, Bachelor’s degree preferred (or equivalent experience).
ABOUT THE TENNESSEE THEATRE
The Tennessee Theatre is an ornate, 1600-seat historic movie palace fully renovated into a multi-purpose performing arts venue. With over 220 booked days, it hosts more than 175 events annually, ranging from touring concerts, comedy, and Broadway; resident symphony, opera, and jazz performances; classic movies; children and family events; patron events; and private rental events. It is a treasured architectural landmark, a cultural cornerstone of the region, and an entertainment destination beloved by generations of audiences. The Historic Tennessee Theatre Foundation’s mission is to preserve, maintain, and operate the Official State Theatre of Tennessee as an arts and entertainment cornerstone for the cultural enrichment and enjoyment of all.
The Theatre has recently acquired and renovated a neighboring building (24,000 sf spread over seven levels) that is physically connected to the Theatre building and used primarily to enhance and expand Theatre programming (pre- and post-show receptions, private intermission lounges, rehearsal and educational spaces, and more) as well as additional private rental use. The new spaces are complete, and full activation of this building is expected in 4Q 2026.
