Introduction and Mission

The Episcopal Church Foundation (ECF) is a non-profit organization that helps build, vitalize, and transform Episcopal faith communities by focusing on finance, formation, and resources. Established in 1949 as an independent, lay-led foundation with a self-directed endowment, ECF serves Episcopal organizations (churches, dioceses, schools, and related non-profits), Episcopal constituents (parishioners, ministry leaders, scholars, donors), and other faith-based groups.

The ECF Endowment Management Program partners with a third-party investment firm to offer a range of investment options for Episcopal organizations. These options range from individually managed accounts tailored to risk tolerance and spending needs, to pooled funds for smaller or emerging endowments. In addition to portfolio management, Endowment Management offers governance guidance, assistance with investment and endowment policies, and prioritizes responsive client service for busy volunteer boards. Endowment Management also oversees individual charitable gifts, including life income gifts, trusts, and other complex gifts, for the benefit of charitable recipients, such as Episcopal and other faith-based organizations.

The Foundation provides formation and resources through various charitable programs, including the ECF Fellowship Partners Program, which awards 1 to 3-year grants to emerging Episcopal scholars, ministry, and lay leaders; Vital Practices, a digital resource center serving Episcopal faith communities; and the Diocesan Vitality Initiative, a process and structure designed to guide Episcopal dioceses in navigating adaptive change.

The Foundation cultivates philanthropic support and raises funds for its non-fee-based charitable services and operating expenses through contributions from individual donors, Episcopal faith communities, and grants from philanthropic organizations. The Foundation also manages a Donor Advised Fund (DAF) program designed to support Episcopalians in achieving their philanthropic plans.

OVERVIEW

The ECF Endowment Management Program is one of three Episcopal Church Foundation’s core services.

The Associate Director – Endowment Management Risk Management & Operations – is a critical operational role responsible for the daily administration, client service, and sub-accounting functions of the ECF Endowment Management Program. This individual contributor position serves as the primary point of contact for numerous clients, ensuring seamless account management, accurate financial processing, and exceptional client experience. The role requires exceptional attention to detail, strong process orientation, and the ability to manage high-volume administrative tasks while maintaining the highest standards of accuracy and professionalism.

Reporting to the Director – Endowment Management, this position is deeply involved in the operational work of Endowment Management, focusing on sub-accounting, client service, and program administration. The Associate Director plays an essential role in strengthening The Episcopal Church’s capacity for mission and ministry through meticulous operational excellence.

Client Service & Relationship Management Responsibilities:

  • Serve as primary point of contact for client accounts on all administrative and operational matters.
  • Respond promptly and professionally to client inquiries about account administration, program policies, and operational procedures.
  • Maintain exceptional client communication standards as the “email face” of the Endowment Management team, handling all client communications with professionalism and accuracy.
  • Build and sustain strong, trusted relationships with clients (Episcopal dioceses, congregations, and organizations).
  • Manage quarterly client review call scheduling to discuss account performance, administrative updates, and client needs.

Sub-Accounting Operations & Processing:

  • Maintain records of clients requiring sub-accounting services, work with new clients to set up initial sub-accounting structure, and maintain records over time.
  • Coordinate with external firm to execute all sub-accounting functions for client portfolios.
  • Enter inputs required for sub-account tracking, reconcile with investment statements, and prepare final materials for monthly and quarterly submission to external firm.
  • Provide data to external firm, manage process of retrieving reports, and distribute sub-accounting reports to clients.
  • Follow appropriate procedures to ensure confidentiality and appropriate access to data.

Account Administration & Processing:

  • Process daily withdrawal requests and additions to accounts in accordance with program policies.
  • Manage account onboarding, opening, and closing procedures, ensuring all required documentation is completed in the correct sequence and established procedures.
  • Distribute monthly statements to clients.
  • Prepare quarterly supplemental materials for clients and distribute a package of quarterly reports to them.
  • Assist with daily Endowment Management administrative tasks.

Data Management & Reporting:

  • Manage and maintain accurate endowment management data in Salesforce CRM system, including performing mass data uploads.
  • Create, generate, and maintain Salesforce CRM reports and provide data to inform endowment management program reporting.
  • Perform high-volume data entry with exceptional accuracy.
  • Identify data quality issues and implement corrective measures.
  • Support the development and enhancement of reporting capabilities.
  • Contribute to ECF’s data and technology initiatives and process improvements.
  • Participate on ECF’s data/technology committee as appropriate.

Process Enhancement & Operational Excellence:

  • Follow established procedures consistently while identifying opportunities for improvement.
  • Enhance existing processes to improve efficiency, scalability, and accuracy.
  • Maintain detailed documentation of operational procedures across Endowment Management.
  • Support the implementation of new systems and process improvements for Endowment Management.
  • Other responsibilities as assigned.

Requirements:

Minimum 5 years of professional work experience in a process-driven, detail-oriented role.

Exceptional attention to detail: Ability to maintain flawless accuracy across high volumes of financial data and client communications.

Willingness to focus on process discipline: Comfort with repetitive tasks and high-volume data entry while maintaining quality and engagement.

Frontline customer service excellence: Ability to manage client communications effectively as the primary contact point, serving as the professional “email face” of the Endowment Management team.

Strong organizational and administrative skills: Capability to manage administrative processes, numerous client accounts, and operations simultaneously.

Highly process-oriented: Commitment to following established procedures with precision, particularly for critical processes such as onboarding clients, opening accounts, and transferring assets.

Responsiveness: Very timely client responses and ability to ask direct questions internally in an appropriate manner.

Communication skills: Excellent written and verbal communication for client and team interactions.

Database management: Good understanding of database management principles and applications; knowledge of Salesforce CRM a plus.

Quantitative aptitude: Confidence working with numbers, financial data and calculations, quantitative analysis, and mathematical concepts.

Remote work capability: Proven ability to work effectively in a remote environment during US Financial Market Hours.

Education requirement(s):

● Bachelor’s degree required.

Preferred:

CPA (Certified Public Accountant): Professional accounting certification.

MBA or related advanced degree: Graduate-level education in business, finance, or related field.

CRM experience: Comfort with Salesforce database or other CRM database equivalent.

Financial services industry experience: Background in investment management, endowment management, family offices, or foundation experience preferred.

Episcopal Church knowledge: Familiarity with The Episcopal Church or understanding of its governing structures.

Work Environment & Schedule

● Remote position requiring availability during US Financial Market Hours (typically 9:00 AM – 5:00 PM Eastern Time).

● Individual contributor role with significant client interaction and no management responsibilities.

Compensation

The salary range for this position is $65,000 – $85,000.

Final compensation will be determined based on experience, qualifications, and location.
