Position Overview
The Art Program Coordinator & Office Assistant supports the Art Director by coordinating, managing, and developing arts programs for DNDA’s ARTs initiative. This position plays a critical role in delivering arts education experiences, integrating environmental themes and addressing community needs. Additionally, the position includes administrative support duties to ensure the smooth functioning of the arts program in alignment with organizational goals.
Key Responsibilities
Program Coordination & Planning
- Collaborate with community partners
- Establish best practices for recruiting, hiring, and evaluating Teaching Artists (TAs).
- Maintain a catalog of classes and workshops offered at partner sites and support teaching artists around the office.
- Overseeing arts supplies inventory, procurement, and distribution for program activities.
- Schedule exhibitions and performances to showcase participants’ work both on-site and off-site.
- Develop volunteer opportunities for high school and college interns.
- Support in the planning and execution of the annual Arts in Nature Festival.
- Track teaching and musician artist contracts, and schedules.
Marketing & Outreach
- Foster relationships with community partners, particularly in our housing.
- Work with marketing staff to promote programs and recruit participants.
- Provide content, photos, and stories for online and print promotional materials.
- Support marketing efforts by gathering testimonials, samples of work, and event documentation.
Staff Support & Training
Office Assistance
- Provide administrative support to the Art Director, including scheduling, document preparation, and correspondence.
- Participates fully in all relevant meetings and committees including but not limited to all staff meetings, supervision meetings, trainings and others
- Listens and communicates effectively between staff and organization leadership and helps and insight that supports the overall work and mission of the organization
- Support teaching artists, Musicians, volunteers, and interns.
- Support onboarding and orientation processes for new staff and volunteers.
- Ensure program-related forms and documents are up-to-date and accessible.
- Assist with office organization and supply management to support program needs.
- Oversee the organization and cleanliness of office spaces.
- Coordinate with vendors and service providers as necessary.
Qualifications
- Proven experience as a program and office assistant or similar role, preferably in a non-profit or community-based organization.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and work independently with minimal supervision.
Schedule: Monday – Friday in office
Hours: 10am-6pm
Job Type: Full-time
Pay: $23.00 – $25.00 per hour
Expected hours: 40.0 per week
