Carroll Lutheran Village is seeking a dedicated Full-Time Admissions Coordinator to join our caring and mission-driven community. This position is Monday through Friday, 9:00 AM to 5:00 PM.
The Admissions Coordinator is responsible for managing the resident admission process efficiently and in compliance with established policies and procedures. This role involves gathering all required information, coordinating with relevant departments, and ensuring a smooth transition for incoming residents. The Admissions Coordinator is entrusted with the administrative authority, responsibility, and accountability necessary to effectively carry out these duties.

What You’ll Do As a CLV Admissions Coordinator
- Conduct interviews with residents and/or guardians to obtain necessary information, signatures, and authorizations.
- Coordinate and complete all admission documentation, including pre-admission paperwork, identification records, permits, and releases.
- Maintain accurate records of bed availability, admissions, discharges, and transfers across Skilled Nursing/Health Care.
- Serve as a backup to the Assisted Living/Memory Care Outreach Coordinator as needed.
- Communicate room rates, billing procedures, and facility policies to residents and families.
- Ensure compliance with HIPAA and other regulatory guidelines when handling resident records and sharing information.
- Collaborate with nursing and interdisciplinary teams to assess potential admissions.
- Maintain current census reports, resident rosters, and waiting lists for Skilled Nursing/Health Care.
- Manage and update referral databases and follow up on leads according to established metrics.
- Address and escalate admission-related issues to the appropriate departments.
- Participate in quality assurance activities, policy reviews, and assigned committees.
- Support the Business Office by performing related administrative duties as needed, including coordinating and completing insurance paperwork and verifications.
- Attend required training sessions, in-service programs, and compliance workshops.
- Uphold confidentiality and resident rights while adhering to all facility policies and HIPAA standards.
- Perform other duties as assigned.

Qualifications
What You’ll Need as an Admissions Coordinator:
Education | Experience
- Bachelor’s degree in marketing, social work, or similar field of study. Prefer prior admissions experience in hospital, CCRC or nursing home.
- 3-5 years of experience.
Knowledge, Skills And Abilities
- Demonstrated discretion, professionalism, and sound judgment in handling sensitive and confidential matters.
- Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public.
- Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment.
- Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care.
- Skilled in the use of standard office equipment and technology.
- Maintains professionalism, composure, and a positive attitude when managing challenging situations.
- Physically able to move throughout the workday and lifting items up to 10 pounds using safe handling practices.
- May be necessary to assist with resident evacuation during emergency situations.
- Complies with organizational health and safety requirements, including vaccination policies or valid exemptions.
