We provide free, year-round swim lessons and aquatic opportunities that range from water safety and survival skills to competitive swim team training.

Role Description

The Nashville Dolphins is seeking a dependable, highly organized Administrative & Operations Coordinator to support the organization’s daily operations, fundraising efforts, and administrative needs. This is a part-time, on-site position located in Nashville, TN.

This role is ideal for someone who enjoys keeping things organized behind the scenes, managing multiple projects, and contributing to a mission-driven organization, making a meaningful impact in the community.

Responsibilities include processing donations, maintaining records and databases, assisting with fundraising events and seasonal campaigns, managing communications, supporting donor outreach, coordinating office operations, and helping ensure projects and deadlines stay on track.

Position Details

Part-time (20 hours/week)

In-office schedule:

  • Monday–Friday, 9:00 a.m.–1:00 p.m.
  • OR Monday–Thursday, 9:00 a.m.–2:00 p.m.

Location: Nashville, TN

Responsibilities

  • Process and track donations through platforms including Stripe, PayPal, and mailed checks
  • Maintain organized administrative systems, records, and databases
  • Manage phone messages, mail, and general organizational communications
  • Assist with planning and preparation for fundraising events and campaigns, including Boots & Bubbles, online auctions, DolFUN Swims, and seasonal mailers
  • Prepare donor acknowledgments and communications
  • Assist with website updates and email marketing communications
  • Help create and distribute quarterly newsletters
  • Order and manage office and mailing supplies
  • Track project timelines, deadlines, and follow-up tasks to support organizational operations

Qualifications

  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Self-motivated with the ability to work independently
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Word and Excel
  • Familiarity with email marketing platforms such as My Emma is a plus
  • Experience with CRM systems or donation platforms such as Stripe or PayPal is preferred
  • Experience with Canva or similar design tools is a bonus
  • Passion for nonprofit work and community impact

Work Environment

This is an in-office role with a consistent weekday schedule. Occasional evening or weekend availability may be needed during fundraising events or peak program seasons.
