REPORTS TO: Branch Manager
SALARY: $22.36 – $23.03/hour
HOURS: Full Time – 40 Hours Weekly
LOCATION: Milgard Family Eastside Branch – 1721 E. 56th St., Tacoma, WA 98404

The Boys & Girls Clubs of South Puget Sound (BGCSPS) is a non-profit organization that CHANGES LIVES through quality programs and guidance in a safe, affordable, and fun environment. BGCSPS’s mission is to inspire all young people, especially those who need us most, empowering them to reach their full potential as productive, caring, responsible members of their community. We have been providing a safe, fun, and positive environment at our sites with trained and dedicated professional staff for more than 80 years.

POSITION SUMMARY
The Administrative Coordinator provides support to the Branch Manager, staff, and site visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive. Duties include, but are not limited to, day to day adaptability, flexibility, and independent decision making, answering phones and greeting visitors, organizing files, creating correspondence, preparing reports and documents, managing the Master calendar to schedule appointments, sorting mail, preparing invoices and offering general support, and assisting with special event planning, meeting setup, and implementation.
FUNCTION/TASKS
● Effectively use and work the Club membership tracking system to enter new member applications; enter program attendance on a daily basis; run reports.
● Welcome new members and participate in their orientation process; implement and enforce all Club rules and policies with members’, and members’ families.
● Receive and record all membership fees; ensure monies received are secured and deposited in adherence to BGCSPS policies. Responsible for weekly (minimum) runs to the Administrative Services Center (ASC) to collect mail, supplies, deliveries.
● Create and maintain files for all membership applications; update member contact information and data as provided and in a timely manner. Prepare weekly reports as directed.
● Participate in scheduled staff meetings and trainings; take part in special programs and events.
● Be aware of Club safety guidelines and first aid resources and procedures. Adhere to safety guidelines at all times.
● Maintain a clean, safe, fully stocked, and well organized program area; accountable for inventory and proper use of office equipment and supplies.
● Manage master calendar; update and track events and parent communication boards.
● Help prepare and distribute program materials for all sites.
● Fill in for programs when necessary.
● Support programming by checking in and/or following up on tasks.
● Supports Branch Manager position tasks when assigned or during their absence.
QUALIFICATIONS:
● Minimum of 21 years of age; possess a high school diploma or GED.
● Minimum of 1-3 years experience as Administrative Assistant.
● Must be able to comply with drug-free workplace policy.
● Proficient computer skills – Microsoft Office, email, internet research, Google calendar, social media navigation.
● Exceptional planning, organizational, multi-tasking and time management skills; able to manage multiple assignments with competing deadlines.
● Excellent verbal and written communication skills; proven cash handling experience, customer service skills, and experience answering phones in an office environment.
● Ability to effectively communicate with youth, parents, staff, volunteers and community partners while displaying tact, maturity and flexibility.
● Work ethic to be responsible, accountable, provide follow up, complete tasks, and meet deadlines in a professional manner with accuracy and attention to detail.
● Must pass a national criminal background check.
● Regular and predictable attendance.
● Driving
○ Must have a reliable personal vehicle for business related travel.
○ Valid WA State driver’s license with acceptable 3 year MVR – driving record.
○ Verification of Tier 2 Insurance standards.
○ Willingness to travel within a designated region for community partnership visits and business meetings.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
To keep our staff safe we adhere to the CDC safety guidelines and remain in close communication with local health departments, program partners, and local School Districts to work together to serve our youth in the safest way we can.

High energy level; comfortable performing multi-faceted projects in conjunction with day-to-day activities; excellent interpersonal skills; ability to get along with diverse personalities at all times displaying tact, maturity and flexibility; good reasoning abilities and sound judgment. Skills essential for successful communications include speaking and writing. Physical requirements include sight, hearing, being active and on your feet for a minimum of four hours; adapt to changes in a highly energetic work environment; other duties as assigned.
Environment of the position: both indoors and outdoors; possibility of adverse weather conditions; noise, dust, pollen and insects; including contact with the public. Possible contact with dissatisfied and/or abusive individuals.
