Role Description The Administrative Assistant is a full-time, on-site role based in Tulsa, OK. This position supports day-to-day office operations, including answering and directing phone calls, greeting visitors, and managing incoming and outgoing correspondence. Responsibilities include scheduling meetings and appointments, maintaining calendars for leaders, organizing files and records, and preparing basic reports and documents. The role also involves data entry, maintaining office supplies, supporting event and meeting logistics, and assisting executive leadership and program staff with clerical and administrative tasks. The Administrative Assistant collaborates with team members, volunteers, and community partners to ensure efficient office workflows that support the organization’s mission.
Qualifications
- Strong administrative assistance skills with experience managing schedules, coordinating meetings, and supporting daily office operations.
- Professional phone etiquette and customer service skills for interacting with homeowners, donors, volunteers, and community partners.
- Clear and respectful communication skills, both written and verbal, with the ability to handle inquiries and share information accurately.
- Executive administrative assistance experience, including calendar management, document preparation, and support for leadership.
- Clerical skills such as data entry, filing, recordkeeping, and basic report generation.
- Proficiency with office software (e.g., Microsoft Office or Google Workspace) and comfort learning nonprofit or CRM systems.
- Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
- Ability to work collaboratively with diverse groups and demonstrate commitment to the mission of affordable housing and community building.
- High school diploma or equivalent required; additional coursework or experience in office administration or nonprofit work is beneficial.
