Job Description

We’re looking for a detail-oriented and proactive Administrative Assistant to be the backbone of our fast-paced, mission-driven organization. In this vital role, you’ll be at the heart of our operations, supporting our leadership team and ensuring the smooth running of our day-to-day activities. Responsibilities

Manage complex schedules and communications for our leadership team, ensuring efficient time management

Coordinate and organize meetings, including preparation of agendas and taking comprehensive minutes

Handle incoming calls and correspondence, providing a professional first point of contact for our organization

Assist in planning and coordinating travel arrangements for team members attending conferences and outreach events

Prepare and edit presentations, reports, and other documents crucial to our operations and outreach efforts

Maintain and organize our digital filing system, ensuring easy access to important information

Conduct research to support various projects and initiatives, contributing to our knowledge base

Assist in database management, helping to organize and track our growing network of contacts and resources

Support various departments with administrative tasks, contributing to the overall efficiency of our organization

Requirements

Exceptional organizational skills with a keen eye for detail

Strong verbal and written communication abilities in English

Proficiency in office software suites (e.g., Microsoft Office, Google Workspace)

Demonstrated ability to handle confidential information with discretion and professionalism

Excellent time management skills with the ability to prioritize and multitask effectively

Basic research and data compilation skills

Adaptability and quick learning ability in a fast-paced, evolving environment

Passion for technology and interest in disaster relief or nonprofit work

Previous experience in a startup or nonprofit environment is a plus
