About The Role
BioLogos is seeking a proactive and detail-oriented Administrative Assistant to join our team. This fully remote position offers flexibility and the opportunity to support various organizational functions in a dynamic nonprofit environment. Reporting directly to the Director of Operations, the Administrative Assistant will play a vital role in ensuring the smooth day-to-day operations across departments including operations, development, and programs. The role requires the ability to travel within the Grand Rapids area occasionally for errands, meetings, and deliveries, and to work during standard business hours on a mutually agreed-upon first-shift schedule. The ideal candidate will be someone who enjoys supporting others, adhering to established processes, and contributing to a collaborative mission-driven organization while honing their administrative skills.
Qualifications
- Alignment with Christian faith and enthusiasm for BioLogos’s mission
- Minimum of one year recent administrative assistant experience, preferably in a nonprofit setting
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Microsoft Office Suite, and Zoom
- Excellent written and verbal communication skills
- Strong organizational skills with high attention to detail
- Ability to multitask and prioritize effectively in a fast-paced environment
- Valid Driver’s License with the ability to travel within the Grand Rapids area as needed (1-3 times per year)
- Experience with Salesforce is a plus
- Personal warmth and a professional communication style suitable for phone, email, and instant messaging
Responsibilities
- Perform a variety of administrative support tasks, including answering phones and emails, scheduling meetings, and managing correspondence
- Assist with routine documentation, record maintenance, and data entry to ensure organizational accuracy
- Coordinate mailings, shipments, and logistical arrangements for organizational events and activities
- Support payroll processing, reimbursements, and financial documentation
- Prepare standard reports and support staff meetings, events, and organizational initiatives
- Provide administrative assistance to the development and grants team, including donor inquiries, updating donor records, and supporting fundraising activities
- Maintain and update the donor database, ensuring accurate and current information
- Coordinate travel arrangements and meetings for development and program staff
- Support program team activities, including event planning, documentation, and monitoring processes
- Assist with monitoring, evaluation, and learning (MEL) documentation to support program effectiveness
