The Kiwanis Cal-Nev-Ha Foundation, doing business as the Cal-Nev-Ha Children’s Fund, is a non-profit organization whose mission is to build a better future for our children by providing scholarships and leadership training to college and high school students; grant funding to our Kiwanis clubs and a select group of children’s hospitals; and through our innovative Pediatric Trauma Program.
POSITION SUMMARY
The Kiwanis Cal-Nev-Ha Foundation is seeking a top performing, high-functioning, assistant who thrives in a fast-paced and self-managed environment to serve as our full-time Administrative Assistant/Pediatric Trauma Program Coordinator in our office in Rancho Cucamonga, CA. This person will report to our Executive Director and work closely with our Secretary/Treasurer.

As the Administrative Assistant, you will serve a central role in supporting our organization by performing a variety of administrative tasks, maintaining our donor database, responding to phone and email inquiries, writing content for newsletters and donor communiqués, assisting with special events and projects and performing recurring duties independently with only occasional instruction or assistance.

As the Pediatric Trauma Program (PTP) Coordinator, you will act as a liaison between our organization and our network of partner hospitals; research childhood injury prevention topics and keep current with the latest data, trends and best practices; and promote childhood injury prevention to our members via informative newsletter articles, providing resources, and ideas to clubs interested in sponsoring a PTP service project.
EDUCATION AND EXPERIENCE (REQUIRED)

Minimum of 3 years of experience as an administrative assistant, preferably in a non-profit or development environment
High school degree or equivalent required; Associates degree preferred; Bachelor’s degree a plus
High proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Adobe Acrobat, Constant Contact Email Marketing, Canva and WordPress; social media a plus
Type at a speed of not less than 50 corrected words a minute
Strong oral and written communication skills including English, grammar, spelling and punctuation
Organized, detail oriented, able to work independently, multi-task and follow through with tasks accurately and with speed
Ability to coordinate and prioritize different duties, determine relative importance of each, set deadlines and complete projects accordingly and reschedule and distribute work assignments based on shifting priorities
Excellent interpersonal skills with the ability to demonstrate objective listening, deal effectively with a variety of personalities and situations requiring tact, diplomacy, judgment and poise while remaining professional at all times
Ability to follow oral and written directions and perform responsibilities efficiently and accurately without immediate and constant supervision; a high level of self-motivation are essential, as well as the ability to work independently.

RESPONSIBILITIES
Responsibilities may include, but are not limited to the following:

Create and maintain files and records, including electronic files on our local area network, ensuring the accuracy and availability of required information
Enter gifts into QuickBooks; generate weekly and monthly gift reports and distribute as instructed
Prepare gift acknowledgement letters for donors; update donor acknowledgement letter templates
Prepare, format, edit and proofread written materials from rough draft or revise from existing files
Write content for our online newsletters and email
Coordinate the compilation, assembly, and distribution of Board meeting packets and mailings
Answer incoming telephone calls and provide information over the telephone to donors; reply to email correspondence with accurate information; greet and assist occasional office visitors
Work cooperatively with Board members, committee members and other staff

PHYSICAL ABILITIES

Physical ability to read handwritten or typed documents and the display screen of various office equipment and machines
Able to conduct verbal conversation in English
Able to hear normal range verbal conversation (approximately 60 decibels)
Able to sit (for sustained periods of time), stand, stoop, kneel, bend, lift (25 pounds) and carry (25 pounds) and walk
Able to climb slopes, stairs, steps, ramps and ladders
Able to exhibit a full range of motion for shoulder, elbow, back, hip and knee
Able to operate office machines and equipment in a safe and effective manner
Able to demonstrate manual dexterity necessary to operate calculator and computer keyboard at the required speed and accuracy

JOB REQUIREMENTS

Official dated certificate validating typing speed of not less than 50 corrected words per minute (not valid if older than one year prior to date of application)
Drug/Alcohol Clearance
Background Screening, Criminal Report Screening and Employment Verification will be required

Pay: $20.00 – $23.00 per hour
