The Atlanta Area Council of Scouting America is embarking on approximately $20 million in building and renovation projects over the next three years to enhance and expand our camps and properties. We are seeking a highly organized and detail-oriented Administrative Assistant to support the Director of Safe Scouting Programs and Properties. This role will be responsible for managing the administrative, logistical, and communications aspects of our capital projects, ensuring they are completed safely, on time, and within budget.
Responsibilities:
- Provide day-to-day administrative support to the Director, including scheduling, correspondence, and document preparation.
- Assist in tracking project budgets, timelines, and deliverables across multiple construction sites.
- Coordinate communications between internal departments, contractors, vendors, architects, and other stakeholders.
- Maintain organized records, contracts, permits, and other project documentation.
- Support meetings and site visits by preparing agendas, taking minutes, and following up on action items.
- Monitor project progress using tracking tools and assist with regular progress reporting.
- Assist with procurement tasks, including gathering quotes, preparing purchase orders, and verifying invoices.
- Ensure compliance with all safety and Scouting standards during construction activities.
- Coordinate logistics for events, inspections, ribbon cuttings, and tours related to property improvements.
- Serve as a point of contact for administrative questions related to construction and property projects.
Qualifications:
- Minimum of 3 years of administrative experience, preferably in construction, facilities management, or nonprofit operations.
- Strong organizational and project coordination skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and project management tools (e.g., Smartsheet, Trello).
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines with attention to detail.
- Experience handling confidential or sensitive information with discretion.
- Familiarity with construction documentation, building permit processes, or vendor coordination is a plus.
- Understanding of, or willingness to learn, Scouting values and safety principles.
Preferred Attributes:
- Experience supporting capital improvement projects or nonprofit infrastructure initiatives.
- Knowledge of construction terminology and contractor/vendor coordination.
- Passion for youth-serving organizations, outdoor education, and community impact.

Pay: $44,000 – $52,000 annually
