Position Summary:
The Administrative Assistant is responsible for office administration while working within the mission, vision, and core values of the organization. The Administrative Assistant will have close interaction with volunteers and donors, and excellent customer service is essential.
Essential Duties & Responsibilities
Draft business documents and project plans from both written specifications and recorded dictation.
Create and maintain spreadsheets and database.
Manage office administration including answering phones, filing, managing calendars and preparing and submitting check requests and expense reports.
Coordinate logistics for meetings and events, including invitations, RSVP’s, payments, venue, food, materials.
Support Kohl Jewish Volunteer Center, Family andCommunity Engagementevents and programs.
Take and prepare meeting minutes for distribution to meeting participants
Assist supervisor at events and meetings.
Assist supervisor with maintaining donor and event information in Federation’s donor database.
Assist supervisor with travel arrangements and reimbursements associated with it.
Other duties as assigned.
Knowledge, Skills, and Abilities:
Associate degree, Bachelor’s degree preferred plus 2+ years related administrative experience.
Experience working in administrative positions, office management required
Ability to manage multiple tasks, meet critical deadlines and work in afast-paced environmentrequired
Excellent customer service skills required
Excellent written and verbalcommunication skillsrequired.
Well organized with a high level of detail orientation
Proficient in MS Office (Outlook, Word, Excel, PowerPoint). Preferably 2010
Experience preparing meeting minutes required
Database experience
This position requires the ability to work off-hour events morning, evening and possible weekends.
Pay Rate:
In addition to benefits, this role has an hourly pay rate of $22 to $26 per hour. We benchmark our salary ranges for new hires in relation to the role, level, and role location; however, we consider a multitude of factors, to include relevant experience, skills, and
education
/training, to determine compensation within the identified range.
