Company Description: The Brooklyn Autism Center is a not-for-profit school for children with Autism that utilizes the principles of Applied Behavior Analysis (ABA). We are seeking a full-time Administrative Assistant to join our team. As the first point of contact for families, staff, visitors, and community members, this role is essential to creating a welcoming, professional, and organized environment. The Administrative Assistant plays a key role in the daily operations of the school by supporting office management, communication, recordkeeping, and school-wide events, helping to ensure that both students and staff have the support they need to be successful. This position reports directly to the Associate Director of School Services and is well-suited for an organized, dependable individual who enjoys working in a collaborative educational setting.
Responsibilities (including but not limited to the following):
Reception and Visitor Services
- Attend to visitors and deal with inquiries on the phone and face to face.
- Greet, welcome and direct visitors appropriately.
- Safely monitor people entering and exiting the school/reception area including the monitoring visitor sign in/sign out sheets and distributing visitor badges.
- Answer and direct incoming phone calls and messages in a timely, professional and polite manner.
- Provide information regarding the organization to the general public, staff, families and prospective clients.
Administrative and Records Management
- Manage staff and student attendance daily.
- Monitor consent forms, waivers and follow up with families and staff as needed.
- Maintain student health and vaccination records.
- Assist in the student and staff onboarding and offboarding process.
- Maintain family and employee directories, health records, and other important documents as needed.
Office Operations and Logistics
- Monitor, control and order school supplies, ensuring cost efficiencies and timely availability of materials.
- Assist in monitoring BAC merchandise.
- Sort and distribute incoming mail.
- Collate documents, as needed.
- Help maintain equipment and report any malfunctions.
- Monitor and report any safety concerns; assist with safety drills such as fire and lockdown drills.
- Monitor and report concerns related to busing and communicate with the bus company as needed.
School Culture, Communications & Events
- Manage the school-wide calendar and create evites to communicate with staff and parents regarding meetings, school closures, holiday breaks, early dismissal days, and other important events.
- Assist in the development and implementation of student and staff celebrations, including coordinating catering, ordering lunches and purchasing materials needed.
- Design, maintain, and update seasonal bulletin board displays throughout the year.
- Design and maintain monthly bulletin board announcements, ensuring timely updates for employee birthdays, school events, celebrations, and other organizational communications.
Staff Support and Professional Responsibilities
- Assist in the oversight of part-time employee, interns and others as needed including the management of time sheets and communication with all staff and family members supporting job path employee.
- Assist in the management and oversight of cleaning staff and follow up with any concerns.
- Assist in the management of building facilities and communicate with the building supervisor, as needed.
- Develop meeting notes and participate in weekly administrative meetings.
- Attend all staff meetings and required trainings.
Minimum Requirements
- High school diploma required; Bachelor’s degree preferred.
- Reliable, punctual and consistent in attendance and performance.
- Professional appearance and conduct.

- Strong customer service skills with a positive, professional demeanor.
- Excellent verbal and written communication skills, with the ability to interact effectively with staff, families, community partners etc..
- Strong organizational, problem-solving, and interpersonal skills.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Ability to remain composed, professional, and effective under pressure.
- Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
- Flexibility and willingness to take on new responsibilities and support the needs of the organization as they arise.
- Bilingual in Spanish preferred.
Pay: $50,000/year
Benefits: The position is full-time, in person, Monday through Friday, 8:00 AM–4:00 PM.
