We are a small team of community members, leaders, teachers, school leaders, friends and allies working together to contribute to the growth and health of our communities.We operate and support the Bronx HYPE Family Enrichment Center and the Haven Hope School-Based Early Support Program in the Bronx.
The Haven and Hope School-Based Early Support Program currently provides services to families and children in school districts 7, 11 and 12 in the Bronx. We provide families with case management, academic and social-emotional supports, and concrete resources. We feel strongly about equity and access to high quality educational and social services, and we’re passionate about advocacy and community outreach.

Job Description
Position: Administrative Assistant
The Administrative Assistant supports all aspects of the School-Based Support program, including record keeping and filing, communicating with families and guests, answering phone calls, receiving packages and inventorying supplies, coordinating meetings and trainings, placing orders, and completing other tasks as assigned by program leaders. The Administrative Assistant may also provide casework support as needed. The Administrative Assistant will report directly to the Vice President.
Title: Administrative Assistant
Pay: $37,000-$40,000 per year
Work Location: 111 Bruckner Blvd., Bronx, NY 10454 and 1250 Waters Place, Bronx, NY 10461
Work Hours: Full-Time/Non-Exempt; 9:00am-5:00pm Mon-Fri
Schedule: Mon-Wed at 111 Bruckner Blvd.; Thurs-Fri at 1250 Waters Place
Specific responsibilities include but are not limited to:
Administrative
- Represent the organization and conduct outreach at community events and venues;
- Provide general administrative support to the School-Based Support Team;
- Provides casework support to case planners and supervisors;
- During staff absences, attends home visits with Case Planners as needed;
- Provides support in-office, at schools, and at other locations in the community;
- Processes order requests;
- Maintains physical and digital filing systems;
- Answer phone calls and responds to voicemails;
- Schedule and coordinate meetings and trainings;
- Respond to emails and other communications;
- Communicate with families and other stakeholders;
- Draft reports, complete forms and create documents;
- Operate and maintain office equipment, including printer and printing supplies;
- Create marketing materials and deliver marketing materials to schools and partners;
- Complete copy and printing jobs;
- Engage in research to gather updated information about community resources;
- Maintains confidentiality, security and compliance with NYC ACS privacy policies and regulations;
- Receives packages and inventories supplies;
- Answer the intercom to admit guests and greets visitors upon arrival;
- Complete other duties as assigned and required.
Building Operations
- Communicate with custodial staff and building maintenance personnel to ensure building and grounds are clean, safe and well-maintained;
- Ensure the work environment is organized at all times, including tidying up the work environment, organizing materials, complete light sweeping and removal of office trash as needed;
- Maintains the general appearance of the work area and collaborates with staff to ensure high standards of cleanliness, organization and beauty of the physical work environment;
- Cleans up spills, completes light sweeping, wiping, dusting and mopping as needed;
- Complete other duties as assigned and required.
Minimum Qualifications
- High School Diploma;
- At least two (2) years of administrative experience;
- Outstanding attention to detail;
- Strong verbal and written communication skills;
- Proficient in Google Documents and Google Sheets.;
- Proficient in Microsoft Excel;
- Ability to perform multiple tasks effectively in a fast-paced, challenging, and constantly changing environment.
Preferred Qualifications
- Bachelor’s Degree;
- At least two (2) years of non-profit or CBO administrative experience;
- At least two (2) years of relevant experience living and/or working in the Bronx and/or Brooklyn;
- At least two (2) years of experience working with children and families;
- Bilingual: Spanish/English
