Position Summary
We are looking for a highly organized and detail-oriented Administrative Assistant to provide critical support in managing assessments, coordinating client projects, maintaining internal systems, and assisting with CRM and scheduling tools. This role requires strong technical skills, professionalism, and the ability to work independently in a remote team environment.
Core Responsibilities
Psychometric Assessment Administration:
Administer and manage logistics for Insights Discovery and The Leadership Circle assessments, including issuing links, tracking completions, compiling reports, and liaising with clients and contractors as needed.
Client Project Meeting Coordination
Schedule monthly client project status meetings.
Prepare agendas in collaboration with engagement leads.
Ensure timely communication and mobilization of contractors and engagement leads.
Project Status Monitoring
Work with project coordinators and engagement leads to track project progress.
Keep the CEO informed and engaged on relevant project updates and key decisions.
CRM and Sales Support
Update and maintain Zoho CRM.
Support proposal development and scheduling of sales meetings.
Conduct targeted research on sales prospects.
Website and Platform Maintenance
Make minor updates to the Strategisense WordPress website as directed.
Maintain and troubleshoot the scheduling platform (Oncehub).
Client Project Administration Coordination
Collaborate with the Senior Finance Administrator to coordinate client project administrative tasks and timelines.
AI Tools and Support
Provide support using AI tools, including Microsoft Copilot and ChatGPT, to improve workflow efficiency and document preparation.
Requirements
Experience with Leadership Circle, Insights Discovery, and StrengthsFinder assessment tools.
Proficiency in Office 365, SharePoint, Oncehub, ChatGPT, Copilot, and Zoho CRM.
Highly organized, detail-oriented, and tech-savvy.
Able to work independently while collaborating effectively with a virtual team.
Strong communication skills and the ability to engage confidently with both internal and external stakeholders.
