The Opportunity
The Administrative Assistant will support the Executive Coordinator and First Place Global’s Executive Project Coordinator with various tasks which directly supports the Executive Leadership team. The Administrative Assistant will possess a customer service philosophy and contribute toward fostering a collaborative work environment.

You are an experienced administrative professional with a high attention to detail, ability to multitask and can navigate relationships with both neurodivergent and neurotypical individuals.
What You’ll Do
- Assist with calendar management for the CEO.
- Assist in scheduling in-person and virtual appointments and meetings, accounting for attendees across multiple time zones
- Manage the calendars of meeting spaces
- Set up meetings for the CEO that require AV and/or meals
- Prepare and submit expense reports and purchase orders for members of the leadership team
- Prepare and monitor monthly supply orders
- Perform administrative tasks such as printing, scanning and photocopying
- Assist with Salesforce data entry and records maintenance
- Assist HR and Executive Coordinator with annual staff/board member recognition
- Provide assistance to the Concierge team during scheduled and unscheduled absences
- Perform other duties as assigned by supervisor
Supervisory Responsibilities:
This role has no supervisory responsibilities.
What You’ll Bring
- High school diploma or equivalent required; some college preferred.
- Three (3) plus years in an administrative role supporting all levels of staff in the organization.
- Excelling communication skills, both written and verbal.
- Good organizational skills.
- Ability to determine context within correspondence that offers perspective on meeting content and informs meeting set-up and subject line entries.
- Ability to work effectively with and without direct supervision.
- Ability to solve practical problems and deal with a variety of situations in a professional manner.
- Ability to follow written, demonstrated, and oral instructions.
- Ability to establish and maintain relationships with the public, co-workers and participants regarding requests, conflicts, and complaints.
- Knowledge of how to use basic computer programs, technology, and office machines.
- Ability to take initiative in asking questions and performing tasks.
What To Expect
The position takes place in both an office environment and within the community. Exposure to varying temperatures and weather elements can apply. The noise level ranges from quiet to moderate.
The position may require the following requirements:
- Ascending/descending stairs.
- Moving self in different positions to accomplish tasks in various environments.
- Remaining in a stationary position, often standing or sitting for prolonged periods.
- Constantly operating a computer and other office productivity machinery, such as a copy machine and computer printer.
- Communicating with others to exchange information so others will understand. Must be able to exchange accurate information in these situations.
- Demonstrating integrity, respect, kindness and excellence in work and interactions.
- Assessing the accuracy, neatness and thoroughness of the work assigned.
- Moving about accomplishing tasks or moving from one worksite to another.
- Communicating with others to exchange information.
- Repeating motions that may include the wrists, hands and/or fingers.
- Lifting objects up to 25-50 lbs.
- Operating a motor vehicle.

Pay: $20.00 – $25.00 per hour
