Mount Calvary Lutheran Church is looking for a warm, organized, and proactive Administrative Assistant who thrives in a relational ministry environment. This role sits at the heart of our community — connecting church leadership, preschool families, ministry teams, and youth programs — and is an ideal fit for someone who finds meaning in serving others behind the scenes.
Roughly half of this role supports the daily operations of Mount Calvary Preschool; the other half provides direct administrative support to the Executive Director and assists with church-wide communications and leadership coordination. This position has potential to grow alongside the ministry’s needs.

Essential Functions
Executive & Administrative Support
• Provide direct administrative support to Executive Director, including calendar management, scheduling, and logistics
• Draft emails, announcements, and ministry correspondence
• Prepare documents, reports, and presentations
• Coordinate meetings, events, retreats, and special projects from planning through follow-up
• Assist with youth ministry and church-wide communications, including social media content
• Maintain organized filing, contact management, and documentation systems
• Serve as a trusted point of connection between leadership, staff, volunteers, and families
Preschool Operations
• Manage ProCare systems: contacts, enrollment, scheduling, invoicing, and accounts receivable
• Serve as the primary contact for weekly parent and staff communications
• Greet families, answer phones and emails, and keep the preschool office running day-to-day
• Support onboarding of new staff and maintain required compliance documentation
• Edit and maintain Parent and Teacher Handbooks annually
• Coordinate field trips and special events.
• Improve and maintain the preschool website
• Prepare required reports, including annual immunization reporting
• Assist with financial tracking, credit card reconciliations, and tuition invoicing
Qualifications
Required
• Strong organizational and communication skills with high attention to detail
• Ability to juggle multiple priorities with professionalism and follow-through
• Discretion and good judgment in handling sensitive information
• Comfort and warmth working with children, families, and staff
Preferred
• Experience in a church, preschool, school, or nonprofit setting
• Familiarity with Microsoft
• Social media or communications background
