The Episcopal Diocese of Newark, a diocese of the Episcopal Church comprising 86 churches throughout northern New Jersey, seeks an organized and collaborative professional to provide administrative support to the diocesan staff. The candidate should be a motivated individual with a history of high performance.

  • Job Type: Part-time, non-exempt.
  • Pay: $33-$38/hour, commensurate with experience

  • Schedule: 27 hours per week, typically in the office 9 AM-5 PM Tuesday to Thursday and 10 AM-12 PM on Monday or Friday, working from home

Essential Responsibilities

Administrative Operations

  • Provide administrative support to Canon for Congregational Life and diocesan staff
  • Respond to inquiries from clergy, congregations, diocesan leaders, and staff regarding diocesan administrative processes.
  • Support diocesan committees, commissions, task forces, governance bodies, and regional ministry networks, as needed.
  • Coordinate administrative support for diocesan initiatives and maintain related organizational records.
  • Assist the Finance Office with assigned administrative processes, payment requests, donor acknowledgements, reports, and correspondence.
  • Perform other responsibilities consistent with the scope of the position.

Event and Meeting Administration

  • Coordinate administrative planning and logistics for leadership gatherings, trainings, and other diocesan events.
  • Manage registrations, participant communications, exhibitor coordination, vendor logistics, contracts, and event timelines for Diocesan Convention and other assigned events.
  • Support Executive Assistant to the Bishop on planning and logistics for Clergy Conference, biennial Black Clergy Women Gathering, and triennial General Convention.
  • Coordinate travel arrangements and accommodations for speakers and guests as assigned.
  • Provide on-site leadership for registration, hospitality, and event operations.
  • Coordinate meeting scheduling, room reservations, technology, hospitality, and logistical support for diocesan meetings.

Office Support

  • Order and maintain office, kitchen, and building supplies.
  • Assist in coordinating office equipment, shared workspaces, and general office operations.
  • Provide cross-functional administrative support during staff absences or periods of increased workload.

Qualifications

  • High School diploma required; college or advanced degree preferred.
  • Three to five years of administrative and/or office management experience, preferably in a nonprofit, educational, religious, or membership-based organization.
  • Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated discretion, sound judgment, and the ability to maintain confidentiality information.
  • Ability to build collaborative working relationships with clergy, congregations, volunteers, diocesan leaders, and colleagues.
  • Financial skills sufficient to develop, understand, and/or interpret the Bishop’s office budget. Basic knowledge of general accounting concepts and practices.
  • Demonstrated ability to organize complex work, prioritize competing demands, and follow through with accuracy and reliability.
  • Ability to respond calmly and professionally in sensitive and changing situations.
  • Preferred qualifications: Familiarity with the Episcopal Church, fluency in Spanish.

Conditions of Employment

  • Occasional travel required: annual Diocesan Convention in November.
  • Maintain a valid driver’s license, insurance on car if applicable/access to transportation.
  • Successful completion of a background check.
  • Anti-Racism, Anti-Sexism, and Safe Church training will be required upon employment, as available.

Working Conditions

  • Current software platforms include Microsoft Office, Zoom, Arena, and other specialized cloud-based applications used by the diocese.
  • Physical effort is light, with lifting or carrying limited to 25 pounds intermittently.
  • Work will require extended use of a computer keyboard and monitor.
