About the University of Hawai’i Foundation:

The University of Hawaiʻi Foundation was established in 1955 to encourage private support for the University of Hawaiʻi. Today it is the central fundraising organization for the UH System and is contracted by the Board of Regents to be the sole provider of fundraising and alumni services. In addition to fundraising, the Foundation manages more than 7000 gift accounts for the benefit of the university and its students.

The UH Foundation is a private, institutionally related corporation designated as a 501(c)(3) organization by the Internal Revenue Service. It is a legally separate entity from the University of Hawaiʻi, the UH Alumni Association, and all other UH affiliates. However, the UH Foundation works closely with these organizations, as well as with others in the community, exclusively for the benefit of the university.

Position Summary:

The Accounts Payable (“AP”) Associate will assist with the general disbursement functions in the fiscal services department.

Job Qualifications:

Minimum 2 years of related work experience is desired
Must be detail-oriented, self-motivated and have good interpersonal skills
Must be highly organized, able to multi-task and meet deadlines
Must have excellent time management skills and able to work in a fast paced environment
Execute daily processes and controls accurately and in a timely manner; ensuring compliance with Foundation policies
Must be dependable and work with a team
Proficient use of 10-key by touch
Familiar with Microsoft Office programs and proficient in Word and Excel
Articulate, excellent customer service and interpersonal skills
Knowledge of basic accounts payable & general ledger concepts is desirable
Must reflect and represent the Foundation’s values which are Teamwork, Accountability, Service, Trust, Integrity and Excellence.

Essential Functions:

Timely processing of purchase order (“PO”) transactions by verifying funds, proper authorization, and appropriate supporting documentation. Perform data entry to generate and encumber purchase orders. Verify receipt of items and process POs for payment. Follow up on outstanding POs, respond to inquiries from vendors and account administrators.
Timely processing of payment requests and disbursements. Responsible for ensuring that funds are available, there is proper authorization and documentation to process the request and verify the account purpose validates each expenditure.
Participate in fiscal training sessions within the Foundation and with the University.
Respond to fiscal inquiries from account administrators, vendors and/or staff.
Assist with assembling requested documentation for the Foundation’s annual audit as required.
Assist with opening, sorting and distributing incoming mail for fiscal department
Perform other duties as assigned
