We operate low-barrier cold weather shelters, transitional housing at Lucia House, and Secure Housing programs that move guests toward permanent homes—all grounded in respect, racial equity, and close collaboration with regional partners and the local Continuum of Care.
Position Summary:
The Accounting Manager is responsible for the full lifecycle of financial operations for a nonprofit organization providing temporary shelter services, with an annual budget of approximately $1 million. As a one-person accounting team, this individual must be a “working manager” capable of handling all aspects of a transaction—from data entry and coding to financial reporting and compliance support. This role requires a hands-on professional who can work independently to ensure the organization remains financially sound, transparent, and compliant.
- Full-Cycle Transaction Management: Own every accounting transaction end-to-end, including documentation, coding to the correct fund, data entry, payment/receipt processing, and final reconciliation.
- Accounts Payable & Receivable: Manage the full AP and AR processes, including monitoring the accounting email inbox, vendor setup, invoice coding, timely payments, employee expense reimbursements, and recording all incoming funds such as individual donations, corporate contributions, and in-kind donations.
- General Ledger & Month-End Close: Maintain the general ledger and lead the monthly closing process, including preparing and posting journal entries.
- Bank & Credit Card Reconciliations: Perform timely and accurate reconciliations of all bank accounts and credit cards, investigating and resolving discrepancies.
- Financial Reporting: Prepare accurate and timely monthly, quarterly, and annual financial statements for the Executive Director and the Board of Directors, including clear budget-to-actual reporting and variance analysis.
- Fund & Grant Accounting: Track and report on restricted and unrestricted funds, ensuring all grant expenditures are documented and reported according to funder requirements.
- Payroll Coordination: Oversee or process payroll and ensure related wages, taxes, and benefits are accurately recorded in the general ledger.
- Budgeting & Cash Flow: Assist in the development of the annual budget and monitor financial performance against budget. Maintain visibility into cash flow to ensure operational needs are met.
- Audit Support: Prepare supporting documentation for the annual audit and assist with financial information needed for IRS Form 990, working in coordination with external accountants.
- Recordkeeping & Retention: Maintain organized financial records and ensure proper documentation, filing, and record retention in accordance with organizational policies and regulatory requirements.
- Internal Controls & Compliance: Maintain and update internal accounting procedures and ensure all activities comply with GAAP and nonprofit regulations.
- Strategic Support: Act as a financial resource for program staff, providing guidance on expense management, coding, and financial processes.
Required Qualifications:
- Experience: 5+ years of progressively responsible accounting experience, with a clear track record of managing full-cycle accounting as an individual contributor.
- Nonprofit Knowledge: Demonstrated experience with nonprofit fund accounting (restricted vs. unrestricted), grant tracking, and nonprofit compliance.
- Technical Skills: Proficiency in accounting software (e.g., QuickBooks Online, Sage Intacct) and intermediate to advanced Excel skills.
- Independence: Proven ability to manage a complete accounting function solo, including prioritizing tasks and meeting deadlines without daily supervision.
- Attention to Detail: High level of accuracy in data entry and a commitment to maintaining organized physical and digital records.
- Communication: Ability to explain financial reports and concepts clearly to non-financial staff and leadership.
Preferred Qualifications:
- Education: A bachelor’s degree in accounting or finance (not required; significant relevant experience may substitute).
- Grant & Contract Reporting: Experience preparing financial reports for funders and managing documentation for reimbursable expenses.
- Advanced Donation Tracking: Experience recording and valuing in-kind contributions and tracking complex corporate or individual gift structures.
- Systems Implementation: Experience improving or implementing accounting workflows (e.g., bill pay, expense reimbursement tools, or payroll system migrations).
- Audit Prep: Previous experience preparing year-end schedules and workpapers for external auditors.

Salary range: The hiring range for this position is from the minimum to the midpoint of the established salary range. The organization does not hire above the midpoint except in approved exceptional circumstances. This compensation structure is designed to support internal equity and provide employees with opportunity for salary growth over time.
