Accounting Associate

Compensation: $45,000 – 55,000/year

A well-established nonprofit organization in Philadelphia is seeking an Accounting Associate to support accounting, reporting, compliance, and program coordination responsibilities. The Accounting Associate will support donation processing, fund reconciliation, financial reporting, scholarship allocation tracking, audit support, database maintenance, donor and school records, board and committee coordination, and general program administration. This position blends accounting responsibilities with administrative support, reporting, compliance, and stakeholder communication.

Responsibilities:

  • Process donations, including checks, wires, stock transfers, and credit card payments.
  • Reconcile contributions by entity, program, school, and fiscal year.
  • Identify discrepancies and resolve variances in partnership with internal teams.
  • Generate donor receipts, acknowledgments, reports, and supporting documentation.
  • Maintain accurate donor, board, school, and program records.
  • Track scholarship allocations, fund balances, disbursements, and related reporting.
  • Support audit preparation, compliance reporting, renewals, and financial data requests.
  • Maintain spreadsheets and reporting tools to track funds, contributions, and program activity.
  • Coordinate communications with schools, donors, board members, and internal departments.
  • Assist with quarterly board and committee meetings, including scheduling, materials, attendance tracking, Zoom coordination, and follow-up.
  • Support program events, continuing education initiatives, and special projects.
  • Collaborate cross-functionally with finance, fundraising, marketing, external affairs, and program teams.
  • Help improve systems, workflows, reporting processes, and overall program efficiency.

Ideal Experience:

  • Associate’s degree or higher required; bachelor’s degree preferred.
  • 3+ years of accounting, finance, operations, administrative, or program coordination experience.
  • Strong Excel skills, including Pivot Tables, VLOOKUPs, formatting, and reporting.
  • Experience working with databases, reporting tools, or accounting systems.
  • Strong attention to detail, organization, follow-up, and analytical skills.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Comfortable handling financial information with discretion and professionalism.
  • Strong written and verbal communication skills.
  • Nonprofit, education, scholarship, grant, or tax credit program experience is a plus, but not required.
  • Lighter accounting candidates with strong admin, bookkeeping, reporting, and Excel experience can be a good fit.
