About the Position
Spring River School is seeking an organized, dependable, and adaptable Administrative Assistant to support our 4-Day K–8 outdoor academic program.
This is not a traditional desk-based administrative position. Our students and faculty spend their school days learning outdoors at parks, preserves, beaches, and other community spaces throughout the Jacksonville Beaches area, and the Administrative Assistant works alongside the program team in that environment.
Administrative responsibilities—including email, scheduling, documentation, communication, and computer-based work—are completed on site.
The ideal candidate enjoys working with people, is comfortable outdoors, communicates professionally, notices what needs to be done, and can manage multiple priorities while keeping the details organized.
This is a service-oriented support role that requires initiative, sound judgment, strong follow-through, and the ability to independently manage assigned responsibilities while working collaboratively with program leadership and faculty.
What You’ll Do
The Administrative Assistant works closely with the Operations Director and Pedagogical Director to help keep the 4-Day Program organized and running smoothly.
Responsibilities include:
- Provide daily administrative and logistical support for the K–8 program.
- Assist with email and phone communications, forms, documentation, scheduling, calendars, and routine administrative needs.
- Maintain the 4-Day Google Calendar and help track important dates, deadlines, and administrative follow-through.
- Support attendance, early pickups, dismissal changes, and other student-day logistics.
- Assist faculty with incident and accident documentation and administrative follow-through.
- Help Class Teachers and other faculty with practical and administrative needs throughout the school day.
- Provide brief student supervision as needed during transitions, teacher breaks, Special Subject classes, restroom trips, and other routine situations.
- Support substitute teachers with schedules, materials, logistical information, and other needs for the school day.
- Assist with logistics for field trips, festivals, orientations, parent events, trial days, tours, and other program activities.
- Support field trip documentation, permission forms, scheduling, and administrative coordination.
- Coordinate teacher supply requests, pickups, distribution, organization, and inventory.
- Support routine timekeeping needs for 4-Day hourly employees and substitutes.
- Maintain organized administrative files, records, and documentation.
- Participate in weather-related planning and assist with weather communications and logistical changes.
- Help the program transition to designated indoor locations during inclement weather.
- Assist with setup, breakdown, organization, and care of shared indoor and outdoor program spaces.
- Help transport, organize, and maintain program materials and supplies as needed.
- Support program leadership with preplanning and year-end administrative closeout.

Previous school administrative experience is helpful but not required.
Training will be provided for school-specific systems, including ParentSquare and Homebase.
This Is an Outdoor Position
Candidates should understand that this position is based within an outdoor school program rather than a traditional school office.
The Administrative Assistant must be comfortable:
- Working outside throughout much of the school day.
- Traveling among parks, preserves, beaches, and other program locations throughout the Jacksonville Beaches area.
- Using a laptop, phone, and other technology in a mobile, nontraditional work environment.
- Walking over varied outdoor terrain.
- Assisting with the movement of supplies and program materials.
- Working in typical Northeast Florida outdoor conditions, including heat, humidity, insects, changing weather, and uneven terrain.
- Transitioning with the program to designated indoor locations when weather conditions require it.
Schedule & Compensation
Monday–Thursday | 8:30 AM–3:30 PM
This is an hourly, school-year position of approximately 41 weeks annually, including the 37-week school year, approximately two weeks of preplanning before the school year, and up to two weeks of year-end closeout in June.
Starting pay: $20/hour
Benefits include:
- 15% tuition remission
- 6 paid time-off (PTO) days per school year
- School holidays and breaks observed; holidays and breaks are unpaid unless PTO is used
Occasional Friday or weekend hours may be scheduled in advance based on program needs. All hours worked are paid and must be recorded in accordance with JEC timekeeping procedures.
